The Client Engagement & Onboarding Coordinator plays a key role in welcoming and integrating new clients into the DropGym community. From system setup to the first booked session, you'll ensure every step of the onboarding process runs smoothly, accurately, and professionally. Your role is vital to ensuring clients feel supported from day one.
Responsibilities
- Execute the Onboarding Checklist to provide a consistent, high-quality experience for every new client.
- Input and manage client profiles in Mindbody, ensuring accuracy and secure storage of billing information.
- Confirm transaction readiness, ensuring accounts are set up correctly for smooth payment processing.
- Schedule the first session with the client’s assigned Personal Trainer on time.
- Manage client statuses and updates in HubSpot, ensuring progress is clearly tracked.
- Educate new clients on how to use the DropGym app, book sessions, and follow key gym guidelines.
- Assign the correct Customer Care Liaison in HubSpot to personalize ongoing client support.
- Set follow-up reminders for the Sales Manager post-first session to ensure client engagement.
- Rebook no-shows or stalled clients, tracking their payment status and helping re-engage them quickly.
Maintain up-to-date calendar availability for onboarding and support calls to ensure client accessibility.
Requirements
- Exceptionally organized with sharp attention to detail
- A strong communicator who’s comfortable explaining systems and processes
- Tech-savvy, with experience using tools like HubSpot and Mindbody
- Able to juggle multiple priorities with ease
- Proactive and client-focused, always aiming to create a smooth experience
- Experience in onboarding, customer service, or administrative support is a strong plus
