Role Name: Business Success Coordinator

Schedule:

  • 40 hours per week

  • Mon - Fri 9am-6pm includes 1 hr unpaid break

Client Timezone: Central Time


This is an exceptional opportunity to become an integral part of a thriving business as a Multi-Tool Administrative Assistant. You'll play a crucial role in supporting both executive leadership and operations teams while handling diverse administrative responsibilities that directly impact daily business operations. Working in a well-structured environment with established processes, you'll have the opportunity to make an immediate impact across multiple business functions. This role offers significant growth potential, as the company plans to expand into two specialized administrative positions within 90 days, providing clear advancement opportunities for the right candidate.


Responsibilities

  • Manage invoice processing and execute accounts receivable follow-up activities to ensure timely payments

  • Coordinate email communications with customers and vendors using established templates and workflows

  • Organize and maintain comprehensive digital file systems and documentation for optimal accessibility

  • Process parts orders through supplier systems and provide detailed tracking updates to internal teams

  • Distribute daily operational reports to customers and stakeholders at scheduled times

  • Collaborate effectively with administrative staff at various client companies

  • Execute routine business tasks within automated systems to maintain operational efficiency

  • Provide dedicated administrative support to both executive leadership and operations teams

  • Assist with trade show coordination and business development activities as needed



Requirements

  • Previous administrative, customer service, or office support experience preferred

  • Proficiency with CRM systems, business software platforms, and Microsoft Office Suite

  • Exceptional attention to detail, particularly for invoice management and file organization

  • Strong written communication skills with ability to maintain professional correspondence

  • Demonstrated ability to follow established processes and workflows consistently

  • Experience working independently with minimal supervision while meeting deadlines

  • Comfortable managing relationships with multiple internal and external stakeholders

  • Adaptability to work flexible hours to accommodate business needs

  • Interest in growing with the company and potentially specializing in executive or project administration roles
