Position Overview:
Ameresco is seeking a highly motivated Administrative Assistant to support Project Managers and the Federal Operations & Maintenance (O&M) Team across multiple military housing portfolios. This role is essential in supporting daily operations, coordinating service activities, preparing purchase requisitions, and ensuring accurate and timely reporting across multiple projects. The ideal candidate will be detail‑oriented, proactive, and capable of managing multiple priorities in a dynamic, service‑driven environment.

Responsibilities:
Operational Support: Assist Project Managers and the O&M team in executing daily service tasks and work orders; collaborate with Project Coordinators and Project Managers to monitor project statuses and address delays or operational issues; attend and document weekly project and O&M meetings.

  • Procurement Support: Prepare and process purchase requisitions, track approvals, and coordinate with procurement and Project Managers to support project and O&M needs while maintaining proper documentation and compliance.
  • Reporting & Documentation: Prepare and submit monthly, quarterly, and annual reports related to service performance, project metrics, and operational trends; track and analyze service data to support compliance, performance guarantees, and continuous improvement initiatives. Track all project progressions and document.
  • Administrative Duties: Perform general administrative tasks including document preparation, data entry, file management, and records organization; perform other duties as required to support Project Managers and overall project success.

Minimum Qualifications:

  • Bachelor’s degree required or equivalent experience.
    • Minimum of five (5) years of administrative support experience in a service, facilities, or similar environment.

Additional Qualifications:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with MS Access and basic photo/editing software is a plus.
    • Experience with Computerized Maintenance Management Systems (CMMS).
    • Strong organizational and multitasking skills with the ability to meet deadlines.
    • Excellent verbal, written, and interpersonal communication skills.
    • Ability to review and handle confidential U.S. security information.

The anticipated base hourly range for this role is $25.48 –$37.19 per hour (presented in good faith). In addition to base pay, employees receive a comprehensive benefits package, such as health insurance, retirement plans, and paid time off, and may be eligible for performance incentives, bonuses, commissions, or equity, depending on the role.

Actual pay will depend on factors such as internal equity, skills, experience, education, certifications, and location. This range supports our commitment to pay transparency and compliance with applicable laws. Compensation may vary by work location, including remote arrangements.
