This is an entry-level position for outgoing and detail-oriented candidates, who are interested to grow towards an office manager role.
Your main responsibilities will include:
Facility management activities
- Communication with the building business administration, as well as support with any/all office malfunctions and potential improvements around the office space.
- Implementation and maintenance of the protocols and procedures for the office space (access control through the offices, ID cards and lockers).
- Tracking, maintaining and ordering of the office supplies (consumables, office materials, etc.)
- Tracking and entering the data related to costs and suppliers into the specific database.
- Sending office related announcements to the employees.
Third party communication
- Tracking and maintenance of the 3rd party contracts database, communicating internally due dates of contracts, and assisting with the extension of the soon-to-end contracts with the 3rd party providers.
- Communication with the potential third party providers, in regards to any occasions or needs of the company.
- Business travels organisation (e.g. booking hotel room, plane tickets, travel insurance, organised transportation, restaurants for the clients/business visits).
- Postage & courier’s management – either through Post office/DHL for deploying the documentation/equipment to the employees who are working remotely.
- Picking up/dropping off documentation with accountants, insurance partner, telecommunications partners, banks and Serbian business register agency and similar.
HR activities
- Assisting HR team in documentation processing (editing contracts, annexes and statements, collecting signatures, scanning and printing).
- Collecting tickets from suggestion boxes each month and writing the response draft.
- Organisinig Team-building activities for the whole office.
- Coordinating the special events such as celebrations and other manifestations at the office, QAT of the month prizes and presents for special occasions.
- Insurance policy tracking and maintaining.
- Helping HR team with other activities upon request.
Requirements
- Upper-intermediate or advanced English skills (B2 or above level).
- MS Office package proficiency.
- High level of adaptability due to a dynamic work environment.
- Time and task management skills.
- Detail-oriented and careful approach to task completion.
- Approachable and communicative personality.
