We are seeking a polished, professional, and patient-focused Virtual Medical Receptionist to support a growing a medical practice. This role is ideal for someone who thrives in a patient-centered environment and is passionate about delivering an exceptional customer experience through warm, professional, and detail-oriented communication.
The primary focus of this position is managing patient communication, appointment scheduling, reappointments, and patient intake coordination while maintaining a high-touch, hospitality-driven approach. Experience in concierge medicine, wellness clinics, cosmetic practices, or Med Spa-style environments is a must.
Responsibilities:
- Manage inbound and outbound patient communication with a professional, warm, and patient-focused approach while delivering exceptional customer service
- Schedule appointments, follow-ups, reappointments, and manage provider calendars efficiently
- Send appointment confirmations, reminders, and handle cancellations or rescheduling requests
- Support patient intake and onboarding processes, including updating patient records and documentation
- Maintain organized patient files, communication logs, and administrative workflows
- Provide exceptional customer service while ensuring accurate and timely coordination of patient needs
Requirements
- Minimum of 2+ years of experience supporting a U.S.-based medical practice in medspa, dermoatology or similar
- Experience handling high-volume inbound and outbound patient calls
- Excellent customer service and patient communication skills
- Strong organizational, multitasking, and time-management skills
- Comfortable working independently in a remote environment
