DEPARTMENT SUMMARY: The Orthopedic, Neurosurgery & Physiatry service line provides a full range of musculoskeletal care for the Central Oregon community including trauma, acute care, inpatient and outpatient surgical care, preventative and chronic care in ambulatory settings, and athletic training services at various school and training locations as contracted by local school districts. The Orthopedic, Neurosurgery & Physiatry service line is led by a physician and administrative dyad team providing oversight and input into the required services, standards of care, clinical quality, team composition and staff needs. In addition, the Orthopedics, Neurosurgery & Physiatry service line also works closely with the Acute Care and Emergency General Surgery teams to ensure a collaborative approach to the treatment of patients. Services may change over time as the needs of the business and community change.
POSITION OVERVIEW: The Surgery Scheduling Supervisor provides direct supervision and oversight of the surgery scheduling department.
This position directly manages Surgery Schedulers.
ESSENTIAL FUNCTIONS AND DUTIES:
Ensures all team members are adequately trained and have the necessary resources to schedule timely and accurate patient surgeries.
Manages Block Utilization schedules, verifying that all schedules reflect input where indicated to release the most appropriate/accurate time so as to retain The Centers O.R. blocks at SCMC.
Collaborates with other departments to support process improvement, implement change and lead the department to best practice standards.
Work closely with multiple offsite clinics, hospitals, staff and reps for proper coordination of surgery.
Maintain timely and accurate notes in Epic and outlook regarding all patient communication and scheduling changes.
Maintain Epic tasks and patient messages, processing and returning calls within 24 hours.
Perform all surgery scheduling duties as needed.
Hires, directs, coaches and monitors the performance of all direct reports, to develop and maintain a high performance team that meets organizational and department goals.
Monitors and ensures all direct reports are current with compliance and safety requirements. Implements and manages all organizational safety directives and goals.
Provides and oversees team’s delivery of customer service in a manner that promotes goodwill, is timely, efficient, and accurate.
Collaborates with teams to review processes and identify/implement opportunities for improvements, applying Lean principles, concepts and tools.
Supports the vision, mission, and values of the organization in all respects.

EDUCATION:
Required: High School Diploma or GED.
Preferred: Associate’s degree in healthcare, business, or related field.
LICENSURE/CERTIFICATION/REGISTRATION:
Required: Ability to travel to business functions/trainings/meetings and all SCHS worksites.
Preferred: N/A
EXPERIENCE:
Required: 2+ years of scheduling or related healthcare administrative experience.
Preferred: Prior supervisory/management experience.

Must be able to wear appropriate Personal Protective Equipment (PPE) required to perform the job safely.
