Working Hours: M-F, align 8 working hours closely with Brisbane Time, QLD, Australia
Salary Range: $900-1,000 (depends on candidate's expertise)

We are seeking a highly organised and proactive Virtual Assistant to support a busy entrepreneur managing multiple companies across different industries including a holding company, business services, childcare, and real estate. The successful candidate will handle a variety of administrative and bookkeeping tasks, manage communications, and help streamline operations across all platforms such as Asana, Trello, Google Workspace, and Xero.
Duties and Responsibilities:
- Email Management:
- Sort and organise emails to prioritise important communications.
- Draft and send responses, escalating important messages when necessary.
- Document Management:
- Create, edit, and manage documents related to business operations.
- Maintain an organised file system on Google Drive specific to each company and functional area.
- Financial Management:
- Handle all bookkeeping tasks including invoicing, tracking expenses, and financial reporting in Xero.
- Meeting and Communications Support:
- Attend meetings virtually when required.
- Manage meeting notes, edit minutes, and ensure follow-up actions are entered into project management tools like Asana or potentially Smartsuite/ClickUp.
- Calendar and Scheduling:
- Manage and organise calendars to schedule meetings, appointments, and reminders.
- Customer and Internal Communication:
- Serve as the first point of contact for incoming calls from brokers, acquisitions inquiries, and internal staff communications.
- General Administrative Support:
- Assist with various administrative tasks such as data entry, travel bookings, and managing schedules.
Requirements
Qualifications:
- 1-3 years of proven experience as a Virtual Assistant or similar role
- Familiarity with online tools such as Asana, Trello, Google Workspace, and Xero
- Excellent communication and organisational skills
- Ability to manage multiple tasks and efficiently prioritise workload
- High degree of discretion dealing with confidential information
- Fluent in English; additional language skills are a plus
