SCOPE: The position is responsible for developing and leading all the operations and execution of illumiNations gatherings across the organization and with external agencies as required, have oversight over Seed Company forWORD events, and serve as an advisory member on the forWORD Steering Committee.
ESSENTIAL FUNCTIONS:
- Direct the overall flow of operations before, during, and after an event to ensure everything runs smoothly related to planning, invitations, venue, lodging, food and beverage service, transportation, meeting spaces, and audio/visual components.
- Lead all planning timelines associated with the team calendar, contracts, invitation cycle, collateral, venue, and onsite logistics by setting goals, making assignments, and supporting team members to solve any problems that might arise.
- Lead the contract timeline and review process with each service provider and outsourcing agency.
- Manage all pre-gathering and onsite venue needs for the program talent and special guests by collaborating with the events and gathering team hosts.
- Direct the post-event coordination, including but not limited to debrief meetings, financial reporting, vendor payments, and data transfer.
- Develop and lead the budget management process to ensure illumiNations (gathering, global, movement, and team) and forWORD budgets are on track, ensuring a healthy ROI by completing regular reviews and updates to illumiNations and forWORD leadership.
- Reconcile gathering and events, global, and movement expenses, and complete the ETEN reimbursement process multiple times a year
- Oversee the invitation process across applicable alliance agencies and growing alliance partnerships to develop the annual invitation list. Lead the follow-up process with illumiNations leadership related to agency ownership, associations, influence, and duplicate invitations as needed.
- Maintain clean data, activity history, and agency reporting within illumiNations Salesforce and edit the CRM as needed. Oversee forWORD reporting.
- Manage the events operational team responsible for the annual illumiNations event, ensuring excellence and consistency in execution of operational activities. Work closely with the gatherings and events teams to create, update, and maintain standard operating procedures.
- Lead the process of recruiting and hiring new team members as needed. Provide direction and mentoring; develop and communicate performance metrics to assess the effectiveness of staff, both as a group and individually. Foster a healthy team environment even in a stressful event context.
SUPERVISORY RESPONSIBILITY:
- This role oversees a team of seven to ten staff within events and illuminations and is in charge of hiring, performance management, and development.
OTHER DUTIES:
- Attend and participate in a variety of meetings and task force groups as directed and maintain the required level of knowledge pertaining to operating procedures, requirements, processes, and policies, including serving as a member of DLT Plus.
- Lead and/or participate in projects or task force groups that focus on issues having organization-wide impact.
- Perform or assist with any assignments as required or directed.
WORK ENVIRONMENT:
This job operates in a professional office environment and event venues. This role routinely uses standard office equipment such as laptop computers and smartphones.

TRAVEL:
Travel up to 15-20% annually.

- Requires a bachelor’s degree with a focus on public relations, communications, or business, or equivalent work experience.
- Requires 10+ years of experience in fundraising event planning and logistical coordination or equivalent experience.
