The Property Management VA will provide administrative and operational support to Ryan D’Alessio of Freedom Funds LLC, focusing on day-to-day property management and investment bidding activities. The VA will handle tenant communication, lease tracking, rental listings, and HUD property bidding through RentRedi and HUD Home Store platforms.
This role requires strong organizational skills, reliability, and attention to detail to ensure consistent operations and proactive communication with tenants and contractors. The VA will serve as Ryan’s main point of support for tenant management and HUD bidding, ensuring that all activities are properly logged, coordinated, and executed on schedule
Property Management Support
- Track and monitor lease expirations using RentRedi’s built-in dashboard.
- Conduct monthly tenant check-ins via RentRedi messaging or phone calls.
- Maintain professional tenant communication, addressing maintenance or payment-related concerns.
- Coordinate with Ryan’s designated contractors for repair or service requests.
- Escalate urgent issues (ex. non-payment, unresponsiveness) to Ryan for review.
Rental Listing and Vacancy Management
- Prepare and post rental listings for vacant units through RentRedi.
- Gather property details, rent rates, and photos provided by Ryan.
- Watch RentRedi tutorials as needed to ensure accurate listing setup and updates.
- Notify Ryan when listings go live or need revisions, and remove listings once units are leased.
Tenant Application Processing and Screening
- Receive and log applications submitted through RentRedi or listing platforms.
- Conduct preliminary screening based on Ryan’s criteria (income, credit, rental history).
- Maintain an application tracker showing applicant stages and outcomes.
- Escalate qualified applicants to Ryan for final approval.
HUD Bidding and Property Acquisition Support
- Log into the HUD Home Store daily using provided credentials.
- Review properties marked as “Favorites” by Ryan for bidding.
- Enter bid details (address, bid amount) based on Ryan’s notes.
- Submit approximately 1–5 bids per day, depending on available properties.
- Maintain bid accuracy and ensure timely submissions.
- Record basic bid confirmations or issues encountered.
Administrative and File Management
- Organize and maintain digital records for leases, communications, and HUD bids.
- Keep folders properly labeled, dated, and easy to navigate.
- Update logs or trackers to reflect completed tasks and communications.
- Perform light reporting only when exceptions or issues arise.
Requirements
Property Management Support Experience (Preferred)
- Prior exposure to property management, real estate operations, or tenant coordination is an advantage.
- Familiarity with property listing tools, leasing processes, or maintenance coordination.
Communication Skills
- Strong written and verbal English communication skills.
- Comfortable engaging with tenants and contractors professionally via chat, email, or phone.
- Able to communicate updates clearly and escalate concerns promptly.
Attention to Detail and Organization
- Maintains accurate logs of leases, bids, and tenant communications.
- Ensures all updates in RentRedi and HUD Home Store are current and accurate.
- Keeps track of follow-ups and upcoming tasks proactively.
Proactive and Reliable Work Habits
- Can work independently and manage daily recurring tasks (bidding, check-ins, listings).
- Understands the importance of consistency, accuracy, and timely task execution.
Technical Proficiency
- Comfortable navigating property management platforms (RentRedi).
- Able to use HUD Home Store for daily bid submissions.
- Familiar with Google Workspace tools for documentation and updates.
