Job Role: Virtual Assistant - Portfolio Management & Executive Support
Reports to: Co-Heads of Investment
Compensation range: $1500 AUD - $2000 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

A global alternative investment firm specializing in venture capital, private and public debt, and impact-driven investments.
Role Overview:
We're seeking a detail-oriented and proactive Virtual Assistant to support our Co-Heads of Investment in maintaining accurate and timely portfolio data while providing comprehensive administrative support. This role is critical to ensuring our investment team has the information they need to make informed decisions and that our Co-Heads can focus on high-value activities.
Key Responsibilities:
Portfolio Management System Maintenance
- Maintain and update our venture firm's portfolio management tool with accurate, current information
- Input transaction data, company financials, and key metrics into the system
- Ensure data integrity and consistency across all portfolio records
Portfolio Company Reporting
- Send quarterly/monthly reporting requests to portfolio companies
- Track reporting deadlines and follow up on outstanding submissions
- Review submitted data for completeness and flag any inconsistencies or missing information
- Reach out directly to portfolio companies that haven't completed their reporting requirements
Executive Administrative Support
- Manage calendars for both Co-Heads of Investment, including scheduling meetings, calls, and events
- Coordinate meeting logistics, prepare agendas, and handle calendar conflicts
- Provide general administrative support including email management, document preparation, and filing
- Coordinate travel arrangements when needed
- Handle other administrative tasks as they arise to support the Co-Heads' priorities
Communication & Coordination
- Serve as the primary point of contact for routine portfolio reporting inquiries
- Build and maintain positive relationships with portfolio company contacts
- Escalate urgent issues or data concerns to the Co-Heads of Investment
- Prepare summary reports on portfolio data collection status
Requirements
Required Skills and Qualifications:
- Proven experience as a virtual assistant, executive assistant, or similar role (3+ years preferred)
- Strong attention to detail with excellent organizational skills
- Proficiency with data management systems and tools (experience with portfolio management platforms is a plus)
- Expert-level calendar management skills with experience supporting multiple executives
- Excellent written and verbal communication skills
- Comfortable working independently and managing multiple deadlines simultaneously
- High level of discretion when handling confidential financial and business information
- Strong follow-up skills and persistence in tracking down information
Preferred Qualifications
- Familiarity with venture capital or private equity operations
- Experience working with financial data or reporting
- Knowledge of common portfolio management tools (e.g., Carta, Kushim, Chronograph)
- Basic understanding of startup metrics and financial statements (EBITDA, Net revenue, MRR etc)
- Experience managing complex calendars in a fast-paced environment
