- Own day-to-day operations while aligning execution with company growth and revenue goals.
- Act as a strategic partner to the COO and Founder, driving priorities, tracking KPIs, and ensuring follow-through on key initiatives.
- Oversee the full client lifecycle (contracts, billing, renewals, records) ensuring accuracy and revenue integrity.
- Build, document, and optimize SOPs, workflows, and internal systems to improve efficiency and scalability.
- Analyze operational data to identify trends, risks, and improvement opportunities.
- Lead cross-functional coordination to ensure seamless delivery of programs and services.
- Provide high-level, solutions-oriented client communication aligned with company standards.
- Support launches, special projects, and operational logistics for company initiatives.
Revenue & Client Lifecycle Integrity- Maintain 100% accurate and up-to-date client records within the first 45 days and ongoing thereafter.
- Collect 100% of outstanding payments before their due date.
- Track 100% of client renewals and follow up exactly 30 days prior.
- Ensure all contracts are sent with 100% accuracy.
Executive-Level Communication- Uphold a high standard of clear, professional, and solutions-oriented communication with clients and vendors.
- Represent the company with confidence, empathy, and attention to detail across all written and verbal interactions.
- Ensure all external communication reflects the brand’s professionalism and operational excellence.
Operational Organization- Maintain centralized, audit-ready systems across documents, dashboards, and shared workspaces.
- Ensure leadership has immediate access to accurate and actionable operational data.
- Uphold documentation standards that drive clarity, continuity, and scalability.
Requirements
- 3+ years supporting founders, executives, or senior operators in startups, finance, or high-performance teams
- Experience in Operations, Chief of Staff, or similar operational roles
- Exceptional written and verbal communication skills
- Native or bilingual English proficiency (clarity is essential)
- Highly organized with strong prioritization skills in fast-paced environments
- Strategic problem-solver with a continuous improvement mindset
- Tech-savvy; proficient in tools such as Notion, Airtable, Motion, PandaDoc, Calendly, Stripe, Slack, GHL, Handshake, Dov, and Kindly
