Why does this role exist?
This role exists to support the efficient planning and execution of marketing and event-related projects that drive product adoption and customer engagement. The Event Marketing & Project Coordinator will manage multiple moving parts related to events, coordinate with vendors, and ensure timely delivery of marketing materials. Hiring for this position enables the client’s team to maintain high standards of communication and organization critical to their growth and success.
The Impact you’ll make
Event Coordination & Vendor Communication- Research and liaise with conference hosts to gather event information.
- Take discovery and fact-finding calls with vendors to confirm details on software, technology, and logistics.
- Manage vendor and customer communications professionally and clearly.
Project Management
- Track deadlines, pricing tiers, start times, and materials related to events.
- Coordinate preparation of slide decks, marketing collateral, and other deliverables.
- Ensure alignment with client’s points of contact and meet all event-related deadlines.
Marketing Support
- Assist with general marketing projects as needed to support campaigns and initiatives.
- Perform accurate and timely data entry to maintain tracking and reporting systems.
Communication & Presentation
- Maintain a professional and presentable appearance and environment during vendor/customer calls.
- Communicate effectively to ensure all stakeholders are informed and aligned.
Skills, Knowledge and Expertise
Required:- Proven experience in event planning, marketing, or project management roles.
- Strong English communication skills (native or near-native proficiency).
- Comfortable and experienced in vendor/customer calling and meetings.
- Ability to manage projects involving multiple deadlines and deliverables.
- Reliable home setup with good lighting and a professional background for video calls.
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection

Work Setup:
- Remote position
- Must have a reliable internet connection and a quiet workspace
- Required to provide own computer with Intel Core i5 or something similar or higher operating system
- 12 hours per week, Monday to Thursday, 9 AM - 12 PM Pacific Time
- $6 per hour
