Philippines onlyThe company is seeking a highly organized and detail-oriented Executive Assistant to support multiple VP level executives. This role requires a proactive approach, excellent communication skills, and the ability to handle confidential information with discretion. The ideal candidate will have a proven track record of effectively managing complex schedules, coordinating travel arrangements, and providing comprehensive administrative support in a fast-paced environment.
Responsibilities
- Administrative Support: Provide comprehensive administrative support to VP-level executives, including managing calendars, scheduling meetings, and handling correspondence.
- Meeting Coordination: Organize and coordinate internal and external meetings, including preparing agendas, reserving venues, setting up video/conference calls, and taking minutes as needed.
- Travel Management: Arrange travel itineraries and accommodation for executives, ensuring all trips are well-planned and executed smoothly.
- Event Planning: Assist in planning and executing corporate events, including logistics, vendor management, and coordination of attendees.
- Document Preparation: Prepare and edit presentations, reports, and other documents to support executive needs.
- Communication: Serve as a point of contact between executives and employees, clients, and other external partners.
- Expense Reports: Manage and submit expense reports, ensuring timely reimbursement and adherence to company policies.
- Project Management: Assist with special projects, providing research, coordination, and support as needed.
- Bachelor’s Degree holder of any 4-year course
- Minimum of 3 years experience as an Executive Assistant, supporting multiple C-level executives
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Proficiency in Google Suite
- Ability to handle confidential information with discretion
- Strong problem-solving skills and the ability to prioritize tasks
- Familiarity with systems, and other business tools such as Slack, Zoom, and Asana
- Experience working in Tech environment
- Detail-oriented with a high level of accuracy
- Proactive and self-motivated with ability to work independently and as part of a team
- Adaptable and able to handle multiple tasks simultaneously in a dynamic environment
- Strong interpersonal skills and the ability to build relationships with stakeholders, including employees, and external partners
- Remote work arrangement after a successful onsite training
- Will follow the Pacific Standard Time
- Requiring candidates to be Philippine based
