Position Summary
The Development Operations Associate is a role designed to strengthen operational excellence, enhance donor stewardship, and ensure seamless execution of donor engagement events. Serving as a critical project manager and systems integrator, this role supports the Development team by driving timelines, coordinating cross-team deliverables, and maintaining the infrastructure that powers high-quality donor experiences.
The ideal candidate is highly organized, detail-oriented, proactive, and skilled at managing multiple stakeholders in a fast-paced environment. This position plays a key role in elevating donor stewardship and ensuring Development efforts are aligned, efficient, and grounded in exceptional relationship management.
Responsibilities and Tasks
Project & Timeline Management
- Lead project management for all stewardship and donor engagement initiatives, including timeline creation, task delegation, and progress monitoring.
- Oversee event and stewardship deliverables to ensure on-time execution and cross-team coordination.
- Update and maintain the Development Asana Board, ensuring accuracy, transparency, and alignment across Development verticals.
- Responsible for quarterly stewardship summaries and deliverable status updates
- Ongoing updates to ensure the Development Priorities Tracker reflects current priorities, deadlines, and team commitments
- Manage donor contribution workflows, efficiently entering contributions into the system and tracking donor pledges
- Manage donor recognition workflows, ensuring timely, personalized, and consistent acknowledgment across donor segments.
- Partner with Development and Communications teammates to ensure donor-facing materials meet brand, quality, and impact standards.
- Produce quarterly stewardship updates for internal stakeholders.
- Coordinate logistical and operational details for donor engagement events, including venue coordination, run-of-show, guest lists, communications, and vendor engagement.
- Ensure high-quality donor-facing experiences by supporting pre-, during-, and post-event needs.
- Prepare monthly event timelines and comprehensive post-event reports.
- Support cross-departmental systems alignment, working closely with the Director of Integration & Capacity Building to streamline processes and strengthen operational cohesion.
- Document workflows, standard operating procedures, and best practices to improve Development department efficiency.
- Identify opportunities for continuous improvement in event execution, stewardship processes, and project management tools.
- All employees of Hopewell Fund are required to complete timesheets every two weeks
- Perform other duties as needed
Required Qualifications, Education, and Experience
Required
- 3–5 years of experience in project management, development operations, events management, or a related field.
- Proven ability to manage complex timelines, multiple projects, and cross-functional teams.
- Exceptional organizational skills and attention to detail.
- Trusted with confidential information, and have managed high-stakes relationships with professionalism
- Strong written and verbal communication skills.
- Experience with Every Action CRM, project management platforms, and workflow tools.
- Ability to travel as needed (typically, 2-4 times/year)

Valued and Non-Essential Characteristics
- Background in nonprofit development, fundraising, or donor stewardship.
- Experience in elevating donor or customer experience initiatives.
Compensation & Benefits
The starting salary range for this position is $65,000-71,000. Placement within this band will be determined based on years of prior experience and relevant skills. Galvanize USA also offers a comprehensive benefits package that includes 100% employer-paid health, dental, and vision insurance for employees (and their families). Employees are able to enroll in the 401k retirement plan and are eligible for a 3% automatic contribution and up to a 3% employer match on 401k contributions. Employees are also eligible for pre-tax transportation benefits. Employees will receive 120 hours of vacation time, 80 hours of health leave, up to 2 days of casual leave, and 20 hours of volunteer leave annually. Employees will also receive 13 paid holidays throughout the calendar year. Employees are eligible for 12 weeks of paid family and medical leave after 90 days of employment.
