About the Role

This isn't a traditional Operations Associate role.

You won't be scheduling meetings or managing inboxes. You'll own the systems that make our entire operation run - maintaining, improving, and automating the technology infrastructure that powers Darkroom. You'll sit at the intersection of Notion mastery, AI experimentation, and operational rigor. You'll work closely with our Operations lead and leadership team to keep our tech stack clean, connected, and constantly improving. If you're the kind of person who reads about new tools before anyone else knows they exist, flags problems before they happen, and gets deep satisfaction from a perfectly architected system - this role was built for you.

This is a fully remote role supporting a team in the EST time zone (9 AM–5 PM EST).

What You'll Do

  • Notion Systems - You are the internal expert. You maintain, audit, and evolve our Notion infrastructure including databases, automations, permissions, and views. You proactively recommend and implement improvements to keep our workspace scalable and clean.

  • Automations & Integrations - You design and deploy workflows across our stack (Zapier, Slack, Google Workspace, Fireflies, and more). You audit existing automations, catch weak points early, and keep everything running reliably.

  • AI & Workflow Optimization - You experiment with LLMs and emerging tools, translate capabilities into operational value, and bring recommendations to leadership. You help build AI-enhanced workflows that make the team faster and sharper.

  • Tech Stack & Access Management - You own user permissions, data hygiene, license audits, and cross-platform integrations. You're the go-to when something breaks - and you fix it fast.

  • Strategic Technology Advisory - You stay current on technology trends and best practices, evaluate new tools, and give leadership clear recommendations. You partner with cross-functional teams to understand pain points and design solutions, and you document systems and workflows to ensure continuity.

You Should Apply If This Sounds Like You

  • 3+ Years of Experience & Strong Communication: You have 3+ years in a tech operations, systems, or automation-focused role. You communicate in excellent written and spoken English.

  • A Notion Expert: You're an advanced Notion power-user with deep knowledge of databases, relations, formulas, automations, and advanced functionality. You've built and maintained enterprise-grade workspaces professionally, make confident structural recommendations, and troubleshoot complex issues independently.

  • Excellent with Automation: You've designed and deployed automations within Notion and across platforms like Google Workspace, Slack, Fireflies, and Zapier. You understand workflow logic, API integrations, and error handling - and you actively audit and optimize what you build.

  • AI-Fluent & Tech-Curious: You use LLMs effectively for generation, refinement, and automation. You stay current on emerging tools and platforms, experiment comfortably, and translate new capabilities into real operational value. You bring curiosity, proactivity, and strong judgment to every technical decision.

  • Operationally Rigorous & Detail-Oriented:You're obsessed with data hygiene, clean systems, and structure maintenance. You're a perfectionist who tracks the small things without losing sight of the big picture - running multiple recurring workflows simultaneously without dropping the ball, and holding your systems to the same high standard you hold yourself.

  • An Entrepreneurial Communicator:You think two steps ahead, flag issues before they escalate, and never let things fall through the cracks.
