Our customer base is growing, and we need someone who can turn the stress of switching EHRs into confidence and momentum. We're seeking an Onboarding Specialist to coordinate go-lives, schedule data imports, deliver training, and ensure every new practice starts strong. This role is equal parts teacher, project coordinator, and trusted guide.

What We're Looking For

Requirements

For this role, you must:

  • Have at least 3 years of hands-on experience as a medical biller in a chiropractic environment (reading and reconciling ERAs/EOBs, working denials and appeals, managing AR aging and collections follow-up, etc.)
  • Have demonstrable experience working in chiropractic practice workflows—front desk, office management, charting, or similar roles that expose you to how practices operate day-to-day
  • Have experience with EHR/EMR systems and understand how practices use them day-to-day
  • Have experience with healthcare software implementation, chiropractic office operations, or B2B SaaS onboarding
  • Be a natural teacher who can break down complex concepts for learners at different skill levels
  • Demonstrate strong project coordination skills—you keep multiple go-lives organized without dropping balls
  • Be a thoughtful communicator in written and spoken forms—it's an art you enjoy improving!
  • Stay calm under pressure and help anxious customers feel confident during transitions
  • Love to grow through self-improvement and personal development
  • Live within the United States and be authorized to work here permanently without sponsorship

Preferred Qualifications

These aren't required, but will help you stand out:

  • Experience with ChiroCat as a user or administrator
  • Background in training curriculum development, knowledge management, or learning principles
  • Familiarity with data migration processes and quality assurance
  • Experience managing multiple concurrent implementation projects

Work from (Almost) Anywhere
We're based in southern Utah, but most of our team works remotely. For this role, we're only considering US-based candidates. Bonus points if you're near Utah, but anywhere in the U.S. works great!

What You'll Do at ChiroCat

At ChiroCat, onboarding isn't just implementation—it's the foundation of every customer relationship. As an Onboarding Specialist, you'll guide practices from their old system to ChiroCat with confidence and care. You'll coordinate data imports, deliver training sessions, manage go-live timelines, and ensure practices feel supported through every step. You'll identify blockers to our customers' success, step in where necessary, coordinate with other departments, and remove roadblocks. This role reports to the Head of Support, and you'll grow through hands-on experience with diverse practice types and implementation scenarios.

A typical week might include:

  • Go-live management: Leading practices through kick-off calls, training courses, and their first day on ChiroCat, being available for real-time questions, troubleshooting unexpected issues, and helping teams feel confident in their new workflows
  • Training delivery: Conducting one-on-one or group training sessions on scheduling, billing, documentation, and practice management features—adapting to each practice's learning style and priorities
  • Inbox management: Our onboarding customers sometimes reach out with a question via email or phone. You'll help answer incoming questions from our new customers so they can move quickly toward success.
  • Data import coordination: Working with practices to gather data from previous systems, coordinating with our technical team on imports, reviewing imported data for accuracy, and helping customers understand any adjustments needed
  • Building customer charts, intakes, etc.: While not always necessary, we often help practices get the most value from our product during onboarding
  • Project management: Tracking multiple onboarding timelines, sending reminders about upcoming milestones, coordinating with internal teams, and keeping everything moving smoothly
  • Documentation and resources: Creating training materials, updating onboarding guides, recording video tutorials, and building resources that help practices succeed independently
  • Post-launch support: Following up after go-live to address questions, identify additional training needs, and ensure smooth handoff to the support team

  • Build rapport quickly and help nervous customers feel at ease during stressful transitions
  • Adapt your teaching style based on who you're working with—front desk staff need different approaches than practice owners
  • Anticipate common questions and proactively address them before they become problems
  • Take ownership of onboarding from kick-off to go-live, start to finish, and measure your success by customer confidence
  • Learn continuously and seek feedback that makes your training better
  • Balance empathy with efficiency—you care deeply but also keep projects moving forward
