Working Hours GMT+3 9:00AM-5:00PM

About the job:
We are seeking a highly competent and passionate Executive Assistant to be an extension and right hand of a CEO, manage the overall daily tasks of our company executives, maintain and extract data, create reports, generate leads, and perform administrative tasks.

Duties and Responsibilities:
- Hiring: Using pre-screening criteria leverages LinkedIn to find relevant candidates and shortlist them. Schedules interviews with vetted applicants and provides pre-meeting summaries. Post-interview uses candidate feedback provided via voice note and responds promptly. Throughout the process swiftly filters and forwards top applicants, streamlining your hiring process.
- Team- Bonding: Organizing team members’ birthday gifts, schedules birthday reminders and bi-weekly team bonding activities. At Christmas, they create and send custom cards mimicking my handwriting for a personal touch.
- Conference/offsite organizing: Manages end-to-end travel logistics, addressing transportation, accommodation, and productivity. Works closely with Sales & Simba to organize conference booths and any conference collateral e.g. business cards. They swiftly handle any disruptions.
- Calendar checking: Ensuring the calendar is optimized. Sharing weekly calendar audits to better understand where time is going.
- Inbox 0: Proactively sweeps inbox, categorizes and keeps emails properly sorted.
- Meeting bios: Where applicable e.g. for larger meetings, provide context on meeting attendees with detailed profiles. Ensuring you understand their backgrounds and preferences to communicate effectively.
- Weekly Documents: Send out weekly stand-up documents
Requirements
- At least 3+ years of relevant working experience
- Strong background in executive and administrative assistance, preferably in the healthcare/wellness industry
- You have excellent speaking and writing English skills
- You are a good communicator and PROACTIVE
- You’re highly organized & are diligent on inputs. You know the level of discipline, organization, and ruthless prioritization it takes to be productive and you pride yourself on these qualities
- You are structured and help us be more structured
- You anticipate well and take proper actions
- You are proactive
- You can correctly prioritize
