Scope of the role:

The Production Manager will spearhead and optimize the production team's operations, ensuring timely submission and shipment of purchase orders (POs), and maintaining rigorous coordination with suppliers in the USA and China. This role is crucial for fostering effective communication across all company levels regarding product shipments. By upholding standards of operational excellence, the Production Manager will align the production process with our client’s commitment to quality, efficiency, and responsiveness. This individual will be instrumental in strengthening the company’s supply chain resilience, enhancing operational efficiency, and contributing to overall success through adept production management.

Duties and Responsibilities:

• Ensure 100% of purchase orders (POs) are submitted accurately and on time, adhering to predefined timelines.
• Monitor the entire PO lifecycle to guarantee all orders are shipped according to the agreed schedule, addressing any delays promptly.
• Provide leadership in optimizing purchase order processes, fostering a culture of accountability and efficiency within the production management team.
• Establish and maintain robust relationships with suppliers in the USA and China, ensuring they meet quality and timeliness standards.
• Negotiate and confirm shipping schedules with suppliers, achieving a 100% on-time sample delivery rate and facilitating swift approval processes.
• Implement stringent quality checks to ensure all products meet or exceed quality standards before shipment approval.
• Ensure suppliers understand and comply with product approval expectations, collecting packing lists and Bills of Lading (BOLs) at least 5 days prior to the planned shipping date.
• Act as a liaison between departments such as sales, marketing, and inventory management to ensure alignment on production schedules and inventory levels.
• Serve as the primary communication hub between suppliers and the team, ensuring all relevant departments are informed promptly about the status of product shipments.
• Notify the company immediately once a product has shipped from the supplier and again when it arrives at the warehouse and is ready for distribution.
• Continuously evaluate and refine production processes to increase efficiency, reduce costs, and improve product quality.
• Develop and maintain a comprehensive reporting system providing real-time visibility into the status of POs, supplier performance, and shipping schedules, enabling proactive decision-making.

Requirements

• C1 English level, with excellent verbal and written communication skills (Must Have)
• 5+ years of experience in Production/Supply Chain Management (Must Have)
• Previous experience overseeing the manufacturing process, managing production schedules, and ensuring timely product delivery. (Must Have)
• Previous work experience and knowledge of the trending beauty industry (Nice to Have)
• Strong project management skills with experience in overseeing and following through on processes and projects.
• Ability to manage multiple projects simultaneously, prioritize, think quickly, and meet tight deadlines.
• Knowledge of supply chain processes and best practices(Must Have)
• Experience in coordinating with suppliers and managing shipping schedules. (Must Have)
• Financial acumen and experience with budgeting, forecasting, and financial reporting. (Nice to Have)
• Proficiency in project management tools and software, specifically ASANA. (Must Have)
• Experience with photoshoot coordination and production. (Nice to Have)
• Creative mindset with a passion for driving innovative solutions.
• Excellent communication and interpersonal skills, with the ability to collaborate with individuals from various areas and disciplines within the organization.
