We are looking for a proactive, highly organized, and detail-oriented Executive Virtual Assistant to provide administrative and operational support to a busy executive. This role focuses on calendar management, scheduling, communication, and general administrative tasks, with the ability to work efficiently in a fast-paced environment. The ideal candidate is bilingual in English and Portuguese, comfortable handling sensitive information, and able to keep operations running smoothly. Legal or paralegal experience is a plus, but not required.
Requirements
Manage executive calendars, appointments, and scheduling across multiple time zones.
Coordinate virtual meetings, prepare agendas, and track action items.
Handle email and inbox management, ensuring timely communication and follow-ups.
Prepare and organize digital files, documents, and internal records.
Draft, proofread, and send professional correspondence in English and Portuguese.
Support administrative tasks such as data entry, research, travel coordination, and report preparation.
Maintain communication with clients, partners, and internal teams in a professional and timely manner.
Assist with light project tracking and workflow coordination.
Handle confidential or sensitive information with discretion.
Support basic legal or document-related tasks if applicable to the executive’s workflow.
Qualifications & Skills
Minimum 2+ years of experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
Fluent in both English and Portuguese (written and verbal).
Strong skills in Google Workspace and/or Microsoft Office Suite.
Excellent organizational, time-management, and multitasking abilities.
Strong communication skills with high attention to detail.
Ability to work independently, prioritize tasks, and meet deadlines.
Professionalism and discretion when handling confidential information.
Legal or paralegal background is not required, but considered a plus.
