The Executive Virtual Assistant will provide structured, confidential, and high-trust administrative and operational support to the client. This role is designed to remove day-to-day administrative friction while also helping leadership understand how operations are performing across a high-volume Amazon DSP business and related ventures.
In addition to core executive support, this role contributes to operational visibility by reviewing data, identifying trends or risks, and clearly explaining what is driving results. The EA supports leadership by surfacing insights that help the business stay on track, flagging issues early, and ensuring reported performance reflects reality—not just compliance.
The ideal VA enjoys working with data, pays close attention to detail, exercises professional judgment, and can translate complex operational information into clear, executive-ready summaries. This role operates within a compliance-heavy environment and requires discretion, accuracy, and disciplined follow-through.
DUTIES AND RESPONSIBILITIES:
Email & Communication Management
- Perform daily email triage and organization
- Tag, sort, flag, and surface priority emails using inbox workflows
- Identify urgent messages and provide screenshots or summaries for executive review
- Ensure no critical communications are missed due to volume
Bill Review & Administrative Support
- Receive and organize bills received via email or billing portals
- Prepare bills for executive review and approval
- Maintain a checks-and-balances workflow with no financial action taken without owner sign-off
- Track approvals and follow-ups
General Executive & Operational Support
- Organize data, files, and administrative records
- Support reminders and task follow-ups
- Assist with small operational and organizational tasks as assigned
- Help reduce after-hours administrative catch-up for the client

- Scheduling across multiple business entities

Requirements
- Proven ability to identify trends, anomalies, and behavioral patterns across operational datasets (e.g., DVIC duration, driver repetition, vehicle usage) and flag emerging risks before they impact scorecard results
- Demonstrated ability to perform root-cause analysis, distinguishing between surface symptoms and underlying drivers of performance changes
- Strong audit and verification skills, including cross-checking data sources to identify gaps in documentation, follow-through, or accountability
- Exceptional attention to detail, paired with sound judgment to focus on high-impact issues rather than low-value noise
- Ability to synthesize complex information into clear, structured summaries that support leadership decision-making
- Comfort working within fixed reporting cadences and delivering accurate insights under deadline pressure
- Exhibits professional skepticism, validating results rather than assuming compliance equals quality
- Strong written communication skills, capable of translating data insights into clear, executive-ready explanations
- High confidentiality and discretion required due to Amazon DSP NDA environment
- Prior experience supporting executives or business owners preferred
