Construction Project Manager VA (Operations & Coordination)
Role Summary
This role is the operational backbone of a general contracting project. You are not “supporting” from the sidelines—you are actively keeping construction execution aligned across field teams, vendors, schedules, permits, and JobTread data.
You will be expected to step into coordination gaps without waiting for instruction, especially when field updates, vendor delays, or documentation issues create blockers.
This role is not for candidates who need daily direction or structured handholding. If you wait to be told what to do next, you will struggle here.
Core Responsibilities (Execution-Based)
1. Project Coordination (Timeline Ownership in Practice)
- Track active project timelines and immediately flag when milestones are slipping or misaligned with field reality
- Update and reconcile schedule shifts based on field inputs, vendor delays, or permit constraints
- Step in when updates are missing and proactively chase information from relevant stakeholders
2. JobTread System Ownership (Source of Truth Maintenance)
- Maintain real-time accuracy of JobTread data (budgets, schedules, RFIs, submittals, change orders)
- Correct incomplete or inconsistent entries when discovered, rather than waiting for others to fix them
- Ensure project documentation in JobTread reflects actual field conditions, not outdated assumptions
3. Field Coordination (Virtual Bridge Role)
- Act as the real-time communication bridge between Project Manager, site superintendents, and field crews
- Resolve coordination gaps when field updates are delayed, unclear, or conflicting
- Escalate only when necessary—otherwise, close loops directly with stakeholders
4. Vendor & Logistics Control
- Initiate and manage communication with vendors and suppliers regarding lead times, orders, and delivery tracking
- Follow up aggressively on delayed or unclear shipments without waiting for escalation requests
- Coordinate delivery timing to match real site readiness, not just planned schedules
5. Permits & Compliance Tracking
- Track permit status from submission through approval and proactively chase updates from authorities
- Maintain an organized archive of compliance documents and ensure revisions are captured correctly
- Flag risks when permit delays impact project execution timelines
6. Operational Admin Support (Execution Reporting Layer)
- Generate and format progress reports based on live project data, not static updates
- Maintain equipment logs and safety documentation with consistent updates from field inputs
- Fill documentation gaps when missing rather than delaying reporting cycles
7. Schedule & Calendar Management
- Maintain and continuously adjust the master project schedule based on real-time execution data
- Coordinate material and equipment delivery timing with field readiness
- Identify conflicts between planned schedules and actual site constraints before they become blockers
Requirements (Non-Negotiable)
- Prior experience in Construction Project Management or equivalent field coordination role is required
- Must be able to interpret architectural, structural, and MEP drawings and resolve field discrepancies independently
- Must operate with minimal supervision and make execution decisions without waiting for approval loops
- Strong written and verbal communication—this role is coordination-heavy, not task-only
- Proven ability to manage multiple moving workflows simultaneously without losing data integrity
- Familiarity with construction sequencing, stakeholders, and project execution flow is required

Position Details
- Fully remote (Philippines-based)
- Contractor arrangement
- US-aligned working hours required for real-time coordination overlap
- Async flexibility exists, but responsiveness during working windows is expected
- Must have stable internet, working computer, and reliable communication setup
