We are seeking a highly organized and proactive Executive Assistant to support one of our department heads in the real estate division. This role requires someone with excellent administrative skills, attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate will be responsible for creating spreadsheets and charts, managing calendars, and ensuring smooth day-to-day coordination of executive-level activities.
🎯 Key Responsibilities
- Provide direct administrative support to the department head
- Create and maintain basic spreadsheets and charts for reporting and tracking purposes
- Schedule meetings, appointments, and events; send out calendar invites and reminders
- Organize and maintain digital files and documentation
- Assist in preparing presentations, reports, and internal communications
- Coordinate with internal teams and external stakeholders as needed
- Monitor deadlines and follow up on action items to ensure timely completion
📌 Qualifications
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role
- Strong organizational and time management skills
- Proficient in Microsoft Office Suite (especially Excel, Word, Outlook) and Google Workspace
- Excellent written and verbal communication skills
- Ability to handle confidential information with discretion
- Familiarity with real estate operations or property management is a plus
- Bachelor’s degree in Business Administration, Management, or related field (preferred but not required)
