Workflow Management / Systems Consultant

Are you a systems-minded operator who enjoys turning messy processes into elegant, scalable solutions? We are looking for a Workflow Management Consultant (or Digital Workplace Architect) to help formalise, integrate, and optimise the internal tools and systems we use to run a modern property development company.

You’ll work closely with our directors and operations team to build a cohesive digital ecosystem across Monday.com, Notion, and SharePoint. You’ll also help migrate and streamline our SOPs, improve collaboration workflows, and experiment with lightweight AI tools like ChatGPT to increase team efficiency.

This role is open to part-time, full-time, or consultancy arrangements depending on the candidate. We're open-minded, but expect someone who is proactive, structured, and reliable — someone who can own the systems layer without constant oversight.

Requirements

Key Responsibilities:

• Configure and maintain Monday.com as the primary task and project management platform
• Structure Notion as the company’s internal knowledge base — including SOPs, wikis, checklists, and reference materials
• Migrate legacy SOPs (Word, Excel, PDFs) into a consistent format within Notion, with clean taxonomy and permissions
• Streamline internal processes and workflows across the team — especially in coordination with Sarah (Ops/Marketing) and Lauren (EA/SOPs)
• Align Notion and Monday.com with SharePoint, ensuring clear document control, versioning, and searchability
• Build templates, dashboards, and process automations that support operational clarity and reduce manual work
• Support the setup of scalable SOP frameworks, naming conventions, and file structures
• Train internal staff (UK and remote) in how to use these tools efficiently
• Advise on integrating AI assistants (e.g. ChatGPT, Perplexity) to support inbox triage, SOP writing, or knowledge retrieval
• Maintain documentation for all system processes, workflows, and change logs

Experience and Skills Required:

• 3–5 years of hands-on experience with workflow tools such as Monday.com, Notion, ClickUp, or Airtable
• Demonstrable experience structuring Notion or Confluence as a scalable knowledge base
• Deep understanding of process design and SOP structuring
• Strong working knowledge of SharePoint and document control best practices
• Confident with basic automations, integrations, and workflow logic
• Comfortable using or supporting language model-based tools like ChatGPT or Perplexity
• Can communicate clearly with both technical and non-technical team members
• Able to work independently, report progress, and document systems to ensure continuity
• Bonus: experience working with small businesses or founders in high-trust environments
