JOB PURPOSE:

Provides administrative support to internal and external planning Counsel and the Program Delivery team and ensures that they have accurate information during all phases of the Continuing Professional Development (CPD) program development and delivery process. Support special projects that related to on-demand and/or digital learning programs.

QUALIFICATIONS REQUIRED:

  • Requires completion of a 3-year college program in Administration, Business, or a related discipline.
  • Requires a minimum of 3 years’ experience in general administration in the legal profession or a related environment.
  • Professional knowledge:

    • Professional office practices to support executive positions.

    • Knowledge of Law Society practices, procedures and protocols.

  • Technical skills:
    • Microsoft Office Suite / 365 (Word, Excel, PowerPoint, etc.).
  • Competencies:
    • Customer service skills.
    • Negotiation skills with tact and diplomacy.
    • Analytical and problem-solving skills.
    • Project coordination, prioritization, and time management skills.
    • Business acumen and data-driven decision-making.
    • Interpersonal, oral, and written communication, and presentation skills.
    • Organizational and multitasking skills with attention to detail.
    • Relationship Management.
    • Ability to work independently and as a member of a dynamic and integrated services team.

KEY ACCOUNTABILITIES

Client/Customer Service Delivery

  • Provides a full range of administrative support to the Program Delivery Team, chairs and presenters, licensees and others, contributing to the CPD program development and delivery process.
  • Coordinates the operation of the Registration Desk for in-person programs, including confirmation of attendance and speaker arrival in conjunction with a third-party vendor representative(s).
  • Supports program operations through the Learning Management System (LMS), including attendee lists, technical troubleshooting, issue resolution, and tracking of evaluation data.
  • Coordinates travel arrangements for out-of-town presenters with the LSO's travel agent and hotel partners, securing the most economical options across various transportation modes. Additionally, schedules faculty confirmation calls and manages presenter availability.
  • Coordinates communications and support for licensees, speakers, and presenters, including setting up email templates, disseminating key program updates, and responding to inquiries in a timely manner.
  • Processes program evaluations and tracks attendance statistics, entering data into databases and producing reports on participation and response rates.
  • Prepares program materials, notices, lists, and correspondence in a timely and efficient manner, and distributes incoming mail and receipts.
  • Prepares, sends and tracks the online speaker grant of permission form.
  • Assists with the maintenance and sustainment of our CPD Presenter Resource Centre to ensure that the information is correct; recommends updates to the Manager, Program Delivery.

Financial Responsibility

  • Processes presenter expense reports, and/or invoices for payment, to ensure that all invoices and other documents have been delivered on time and are accurate.
  • Relays the CPD expense policy to presenters.

Team Membership

  • Contributes to the continuous improvement of CPD work processes and supports the CPD team's success by upholding the highest standards of customer service.
  • Provides backup and assistance to other team members.
  • Keeps informed of upcoming / ongoing changes at LSO and spotting potential impact to CPD business processes.

WORKING ARRANGEMENT

The Law Society has introduced a Distributed Workforce Model to leverage flexibility and agility, and to maximize employee productivity and engagement. Work arrangements will be determined by role and departmental requirements. The working arrangement for this position has been classified as primarily remote, with a requirement to attend the office on an occasional basis.
