About the Operations Coordinator Role

As an Operations Coordinator supporting our Last Mile and Core teams, you’ll play a critical role in keeping our nationwide maintenance programs running smoothly and efficiently. This role bridges field operations, data analytics, and customer support—ensuring our mobile technicians, regional leaders, and customers have the information, tools, and insights they need to succeed.

Where You’ll Make an Impact

Operational Coordination & Support

  • Support daily operations for both Last Mile and Core Maintenance programs by coordinating technician schedules, report submissions, and dispatch updates.
  • Monitor and reconcile work order status, ensuring jobs are tracked from creation through completion.
  • Assist in onboarding new technicians and regions, setting up reporting templates, trackers, and access credentials.
  • Liaise with field managers to collect missing or corrected data (e.g., job notes, VMRS codes, time entries).
  • Prepare internal operations updates for leadership and site performance reviews.

Performance Reporting & Analytics

  • Produce and distribute weekly and monthly performance dashboards summarizing:
  • Technician utilization and billable hours
  • Work order turnaround time (TAT) and completion metrics
  • Preventive maintenance (PM) compliance
  • Overtime (OT%) and regional productivity
  • SLA adherence and customer satisfaction indicators
  • Validate data integrity across reporting platforms and escalate anomalies.
  • Support leadership in trend analysis to identify root causes for missed targets or inefficiencies.
  • Maintain standardized KPI scorecards for both internal tracking and external reporting.

Customer & Administrative Support

  • Serve as the primary reporting contact for customer-facing performance reports and service summaries.
  • Compile and deliver monthly customer packets, including billable hour summaries, completed work logs, and service verification sheets.
  • Coordinate with Finance on invoice support documentation, timesheet reconciliation, and part/labor audit requests.
  • Update asset- or unit-level maintenance trackers to reflect current customer fleet status.

Process Improvement & Documentation

  • Maintain standard operating procedures (SOPs) for reporting, data submission, and work order flow.
  • Identify process gaps or reporting inefficiencies and propose system improvements or automation opportunities.
  • Support integration updates or data mapping between internal reports and client-facing systems.
  • Ensure audit readiness by maintaining organized documentation across all active accounts and regions.

What Makes You a Great Fit

  • Bachelor's degree in Business Administration, Sales, Marketing, or equivalent experience.
  • 2-3 years of account management, sales, or customer service experience.
  • Ability to build and maintain strong relationships with clients, acting as a trusted advisor and partner.
  • Exceptional problem-solving skills - ability to identify and resolve customer issues, ensuring a positive experience.
  • Strong analytical skills - ability to analyze customer data and feedback to identify trends and areas for improvement.
  • Excellent interpersonal, organizational, and written/verbal communication skills.
  • Proficiency in MS Office Suite and ability to learn new systems.
