This role offers an opportunity to make a direct impact on patient access to addiction medicine services in a telehealth environment. The Intake Coordinator/Data Analyst will be responsible for managing the initial patient intake process, ensuring accurate data collection, and supporting smooth onboarding for individuals seeking care. This position combines administrative coordination with data analysis to optimize patient flow, improve operational efficiency, and enhance program outcomes. The ideal candidate will be highly organized, empathetic, and capable of working collaboratively in a fast-paced remote setting. You will play a vital role in ensuring patients receive timely, high-quality care while contributing to continuous improvement initiatives and program evaluation.

Accountabilities

  • Serve as the primary point of contact for new patient inquiries via phone, email, and online forms, responding promptly and professionally.
  • Conduct initial non-clinical screenings to determine eligibility, explain program offerings, and provide guidance on telehealth processes.
  • Collect and verify demographic, clinical, and preliminary health information, ensuring accurate documentation in the Electronic Health Record (EHR) system.
  • Coordinate and schedule initial assessments with appropriate clinical providers, sending confirmations and reminders.
  • Troubleshoot basic technical issues related to telehealth access and provide empathetic support to reduce barriers to entry.
  • Generate reports and dashboards to track intake metrics, patient demographics, program engagement, and outcomes.
  • Collaborate with clinical and administrative teams to optimize workflows, patient flow, and overall program efficiency.
  • Participate in quality improvement initiatives to enhance patient satisfaction and operational performance.

Requirements

  • Bachelor’s degree in psychology, healthcare administration, or a related field.
  • Experience in patient intake, scheduling, customer service, or administrative support within healthcare or behavioral health settings.
  • Familiarity with video-conferencing technology and telehealth platforms.
  • Strong verbal and written communication skills with an empathetic, patient-centered approach.
  • Excellent organizational skills and attention to detail.
  • Proficiency with Electronic Health Record (EHR) systems, scheduling tools, and standard office software (Microsoft Office Suite, Google Workspace).
  • Knowledge of HIPAA regulations and commitment to patient confidentiality.
  • Strong problem-solving skills and ability to manage multiple priorities in a fast-paced environment.
