Job Role: Operations Lead

Compensation range: $1,500 AUD - $2,000 AUD / Monthly

Engagement type:Independent Contractor Agreement

Work Schedule: This role is expected to require roughly 15-20 hours per week. As a contractor, you’ll have flexibility in how you manage your schedule, but availability for occasional collaboration during AU business hours is preferred.

Who The Client Is: The client is a small, fast-moving venture design and strategy team that works closely with founders and growing businesses to launch and scale new ideas. They’ve supported dozens of ventures across different stages, combining strategic thinking with hands-on execution.

The team operates in a high-trust environment where people are expected to take ownership, manage details end-to-end, and speak up when something needs attention. It’s not a task-based role—initiative, good judgment, and the ability to think ahead are important.

While they’re highly engaged with technology and innovation, much of their work is relationship-driven. They collaborate with clients who are often under pressure, so being adaptable, responsive, and thoughtful in how you work with others is key.

Role Overview: We are looking for an Operations Lead who will provide hands-on support across executive, creative, and operational functions within a fast-paced team. You’ll manage day-to-day admin tasks while also supporting design and tech teams with document preparation and asset management.

Key Responsibilities:
Design Delivery

  • Assist Tech Lead and Senior Designer with (graphic) design tasks including document generation using Adobe Suite & Microsoft Office, and asset filing.
  • Source and coordinate branded merchandise for clients in collaboration with the Senior Designer:
    • Communicate with Chinese suppliers (written and verbal Mandarin)
    • Manage orders, shipment tracking, and quality control, including maintaining inventory records, lead times, and cost tracking
    • Identify and resolve logistics issues proactively

Operational Support

  • Supporting Tech Lead to build out and improve AI-assisted workflows
  • Update and maintain CRM data and records on Monday.com
  • Desktop research encompassing media, events, conferences, and key contacts
  • Manage speaker bureau communications, onboarding, and awards tracking/submissions
  • General administration including:
    • Schedule and manage social content (LinkedIn, Instagram)
    • Event & travel coordination support
    • Provide ad hoc support as needs evolve within the team


Required Skills and Qualifications:

  • Highly organized with strong follow-through and attention to detail as it relates to design & implementing style guides
  • Language:
    • English: Fluent, clear and professional written & spoken
    • Mandarin: Working written & spoken
  • Hands-on experience using AI tools (e.g., ChatGPT or similar) in a work setting
  • Proficient in common digital tools such as Adobe Suite, Microsoft Office, Monday.com, Slack, Zoom, Dropbox, and Typeform
  • Proactive and able to anticipate needs without close supervision
  • Comfortable working in a fast-paced, evolving environment

Ideal to have:

  • Design qualifications and an eye for beauty
  • Experience with Chinese e-commerce platforms (e.g., Taobao)
  • Exposure to startup or fast-growth environments
  • Background in freight forwarding or international logistics

Work Arrangement & Expectations:

This is a remote role that is set up as an independent contractor engagement.

To ensure alignment and transparency, successful candidates will be expected to:

  • Be available for meetings and collaboration during core AEST business hours (approx. 9 AM - 5 PM, Monday to Friday)
  • Disclose any existing ongoing roles or client work
  • Reflect this engagement on their LinkedIn profile (clearly marked as “Independent Contractor”)
