Job Role: Estimator / Procurement & Ordering Officer
Work Schedule: Monday - Friday 9 AM - 5:30 PM (AU Time Zone)
Salary range: $1800 - 2000 AUD

Who The Client Is: The company has decades of experience in residential construction, specializing in new home builds, extensions, and renovations. Their expertise includes kitchens, bathrooms, and traditional timber framing, blending craftsmanship with modern design principles. They offer a range of custom projects, from European-style barns to external studios and personalized living spaces, catering to diverse client needs.

Role Overview: The Estimator / Procurement & Ordering Officer is a pivotal in-house role responsible for delivering accurate project estimates, managing all procurement and ordering processes, and maintaining the master construction schedule. This position ensures every project is costed accurately, materials and trades are procured efficiently, and work is scheduled to meet project milestones and uphold the company's reputation for quality, compliance, and client satisfaction.

Key Responsibilities:

Estimating

  • Prepare detailed and accurate cost estimates for all projects (heritage restorations, new builds, and renovations)
  • Liaise with architects, designers, engineers, and trades to clarify scope and resolve queries
  • Source and analyse supplier and subcontractor quotes
  • Maintain and update the in-house cost library and historical pricing data
  • Support feasibility studies and preliminary budgeting for prospective clients
  • Present estimates and cost breakdowns to management and clients as required

Procurement & Ordering

  • Manage end-to-end procurement for materials, fixtures, fittings, and services
  • Issue and track purchase orders, ensuring timely delivery aligned with project schedules
  • Vet and onboard new suppliers and trades, ensuring compliance standards (licenses, insurances, SWMS, agreements)
  • Maintain accurate records of orders, deliveries, and supplier performance
  • Proactively manage lead times, early order items, and critical path materials to prevent delays
  • Coordinate with site supervisors and project managers for just-in-time delivery and site logistics

Scheduling

  • Develop, maintain, and update project schedules using structured format (WHO/WHAT/WHERE/WHEN, status symbols)
  • Identify critical path items, dependencies, and trigger points for ordering and trade coordination
  • Integrate client selection deadlines, council inspection points, and payment milestones into the schedule
  • Monitor progress, update status, and communicate changes to all stakeholders (internal team, clients, subcontractors)
  • Flag and resolve scheduling conflicts or issues proactively
  • Ensure all schedule documentation is up-to-date, clear, and accessible for the team

Continuous Improvement & Collaboration

  • Contribute to the refinement of estimating, procurement, and scheduling systems and templates
  • Provide feedback and lessons learned after project completion for ongoing process improvement
  • Support training and onboarding of new team members in estimating and scheduling best practices
  • Uphold standards for professionalism, accuracy, and client care in all activities

Qualifications:

  • Proven experience in residential construction estimating and procurement
  • Strong organisational and time management skills
  • High attention to detail and accuracy
  • Proficiency with estimating and scheduling software (Wunderbuild, Excel, build grid, etc.)
  • Excellent communication and negotiation skills
  • Ability to work collaboratively across teams and with external partners
  • Commitment to values of quality, transparency, and continuous improvement
