Job Description

ExeQut is seeking a mid-level Proposal Manager with 3-5 years of experience to establish and manage our end-to-end proposal function for U.S. opportunities. The ideal candidate will set up process and governance (templates, SharePoint library, color-team reviews), coordinate cross-functional contributors, and ensure compliant, compelling, on-time submissions. This is a remote role with working hours aligned to US EST client schedules.

Key Responsibilities

• Establish ExeQuts end-to-end proposal management process.
• Build and maintain a central SharePoint repository for RFP documents, resumes, past performance, and proposal drafts.
• Develop templates for resumes, past performance write-ups, capability matrices, and proposal sections.
• Run bid/no-bid reviews and prepare kickoff decks for leadership.
• Coordinate with capture to ensure opportunities are ready for proposal stage.
• Assign proposal sections to technical SMEs, writers, and partners, and track progress.
• Manage Pink Team, Red Team, and Gold Team reviews to ensure content is compliant and compelling.
• Ensure on-time submission of proposals in compliance with RFP requirements.

Qualifications Requirements

• 3-5 years of experience in proposal management/coordinating within IT services, software, or consulting.
• Prior experience in USA market.
• Project management excellence with the ability to create and enforce proposal schedules, milestones, and deadlines.
• Strong organization and compliance orientation to ensure every proposal meets RFP instructions.
• Skilled at facilitating communication between technical teams, BD, capture, and partners.
• Problem-solving mindset with the ability to work under pressure and tight deadlines.
• Excellent written and verbal communication skills.
• Ability to set up a proposal process from scratch (templates, SharePoint library, review cycles) and lead virtual teams across multiple time zones.
• Skilled at delegating writing assignments and ensuring deadlines are met; capable of running bid/no-bid discussions and presenting opportunity analysis to leadership.
• Fluent English (spoken written).
• Proficiency with SharePoint and Microsoft 365 tools.
