Job Summary:
We’re looking for a proactive and highly organized Executive Assistant to support the client in managing their daily business operations, client communications, and administrative processes. This role combines executive support, light bookkeeping, and calendar management to keep business and personal priorities running smoothly.

Key Responsibilities:
Calendar & Appointment Management
- Manage and sync business and personal calendars to ensure meetings are properly scheduled and conflicts are avoided
- Coordinate logistics for multiple city and client appointments
- Proactively adjust meetings and provide reminders as needed
Client & Lead Follow-Up
- Conduct timely post-meeting follow-ups and outreach after networking events
- Manage communication threads and ensure no opportunities are missed
Email Management
- Organize and tag emails (urgent, to-reply, informational) to streamline inbox management
- Keep communication clear, prioritized, and actionable
Contact & Data Organization
- Digitize business card contacts and maintain updated client databases
- Initiate follow-ups via email or LinkedIn as needed
Administrative & Bookkeeping Tasks
- Track receipts, expenses, and basic bookkeeping using QuickBooks or Google Sheets
- Support report preparation and coordination with the contract CFO
Operational Support
- Maintain organized Drive folders and shared digital resources
- Proactively manage administrative details to keep operations efficient
Qualifications:
Must-Haves:
- Proven experience in executive or administrative assistance
- Excellent organizational and communication skills
- Familiarity with calendar tools, CRMs, and QuickBooks
- Strong attention to detail and ability to manage multiple priorities
- Reliable and responsive during Pacific Time hours
