About your new role:
The Order Entry Specialist is responsible for accurately entering customer orders into internal systems and ensuring all required information is complete before orders move into provisioning and service delivery. This role serves as a critical link between Sales, Operations, and Billing, helping ensure a smooth and efficient order-to-activation process in a managed services environment.
Key Responsibilities:
- Enter customer orders into CRM, ERP, and order management systems with a high degree of accuracy.
- Review sales orders, contracts, and quotes to ensure completeness and correctness.
- Validate customer details, pricing, service configurations, and billing information Identify and resolve discrepancies prior to order submission Internal Coordination.
- Work closely with Sales, Sales Operations, and Provisioning teams to clarify order details.
- Ensure all required documentation (contracts, LOAs, service details) is received and approved.
- Escalate incomplete or inaccurate orders to appropriate teams for correction.
- Maintain compliance with internal order entry processes and controls.
- Ensure orders meet billing, contractual, and service requirements before release.
- Support audits, reporting, and quality assurance initiatives.
- Maintain accurate order records and updates in CRM and ticketing systems.
- Track order status and ensure timely handoff to provisioning or service delivery teams.
- Assist with process improvements to reduce errors and cycle times.
- Takes on additional responsibilities and projects as needed to support the success of the team and organization.
What you'll need for success:
- 1–3 years of experience in order entry, administrative support, or operations (MSP or technology services preferred).
- Strong data entry skills with exceptional attention to detail.
- Proficiency with CRM and business systems.
- Experience working in an MSP, telecom, or SaaS environment.
- Familiarity with systems such as Salesforce, ConnectWise, NetSuite, or similar platforms.
