The Senior Accounts Payable Specialist is responsible for owning and managing the full Accounts Payable (AP) cycle and ensuring accurate, compliant, and timely processing of all payables activities. This role requires a high level of professional judgment, analytical problem-solving, and process optimization, and will serve as a key partner to internal teams and external vendors.

This position will independently evaluate invoice discrepancies, analyze and reconcile vendor accounts, recommend and implement process improvements, and uphold strong internal controls. The ideal candidate is detail-oriented, highly organized, and proactive, with an ability to manage high volumes of transactions while maintaining accuracy, efficiency, and scalability.

What You'll Focus On:

1. Invoice Processing AP Operations (30%)Process vendor invoices daily in Ramp, ensuring accuracy, timeliness, and appropriate coding.
Review, investigate, and resolve invoice discrepancies independently.

2. Vendor Management Onboarding (15%)Manage vendor onboarding and maintain vendor master data, including W-9/W-8 forms and contracts.
Serve as the primary liaison for vendor inquiries, ensuring professional and timely resolution.

3. Expense Management Corporate Credit Cards (15%)Oversee distribution, tracking, and administration of company-issued credit cards.
Review and approve employee expense reports in compliance with TE policies.Educate employees on reimbursement and credit card procedures.

4. Reconciliations Reporting (15%)

Reconcile vendor statements, resolve discrepancies, and maintain accurate ledgers.
Reconcile AP-related balance sheet accounts, including cash, credit card, AP, and clearing accounts.
Support month-end close and provide financial reporting as needed.

5. Compliance Year-End Reporting (10%)Prepare and submit year-end 1099 reporting in compliance with IRS deadlines and requirements.
Maintain documentation to support audit readiness and regulatory compliance.

6. Internal Audit, Analysis, and Process Improvements (10%)Support internal and external audits by providing documentation, analysis, and explanations.
Identify operational gaps and recommend process enhancements to increase efficiency and control.
Collaborate with finance leadership to establish scalable AP best practices.
7. Cross-Functional Support Issue Resolution (5%)Respond to internal inquiries related to invoice submissions, payments, and expenses.
Provide financial data and analytical support to business leaders as needed.

What You Bring:

  • Bachelor’s degree in Finance, Accounting, Economics, or a related field.
  • 4+ years of full-cycle accounts payable experience in a high volume environment. Multi-entity preferred but not required.
  • Strong knowledge of W9/W8/1099 requirements and year-end reporting
  • Proficiency in Excel (including VLOOKUPs and pivot tables)
  • Proven ability to manage reconciliations, track variances, and maintain vendor relationships
  • In depth knowledge of Ramp preferred, but not required.
  • Basic knowledge of administrative and clerical procedures and systems
  • Effective written and verbal communication skills

Chowbus is a technology company that initially specialized in online food ordering, payment, and delivery, with a focus on authentic Asian cuisine. Founded in 2016 by Linxin Wen and Suyu Zhang in Chicago, Illinois, the company's original mission was to connect consumers with genuine Asian dishes often underrepresented on mainstream delivery platforms. Over time, Chowbus expanded its operations to over 20 cities across North America, Canada, and Australia, featuring menus in multiple languages, including Mandarin and Cantonese, and offering a wide array of Asian cuisines such as Chinese, Japanese, Korean, Vietnamese, and Indian. Recognizing the broader needs of the restaurants it served, Chowbus evolved its business model. By 2022, the company ventured into the Software as a Service (SaaS) market, introducing restaurant management software and a cloud-based point-of-sale (POS) system. This strategic shift was aimed at providing comprehensive technological and marketing support to restaurant owners, particularly those new to the country. In January 2024, Chowbus sold its food delivery arm to Fantuan Delivery, and has since intensified its focus on developing and enhancing its SaaS and POS solutions for the restaurant industry. The company's mission is now centered on building a comprehensive tech ecosystem to empower restaurants to grow, serve with heart, and uplift their communities.
