Return to Work/Workers Compensation Specialist – Full-Time - AU

We are looking for a detail-oriented and proactive Return to Work (RTW) / Workers Compensation Specialist to support our Australian client. This offshore role requires a mix of administrative, payroll, and finance skills, combined with an understanding of Australian workers compensation processes. The ideal candidate is curious about medical cases, highly organised, and comfortable working with multiple stakeholders.



Key Responsibilities

1. Injury Management & Return to Work Administration

  • Manage the receipt, logging, and distribution of medical certificates, clinical reports, physiotherapy progress summaries, specialist correspondence and insurer instruction and information.
  • Support the RTW Manager with the submission and notification of intent to claim to the relevant states as required
  • Maintain accurate and up-to-date records within injury management systems and databases.
  • Assist the Return to Work manager with coordination of suitable duties, claim updates, and monitoring of worker progress where requested.
  • Provide timely follow-up with insurers, rehab providers, and workers to ensure required documentation and approvals are obtained.
  • Track and monitor outstanding certificates and return to work plans.

2. Payroll & Workers Compensation Payments

  • Manage weekly payroll processing for injured workers, including reviewing timesheets, verifying attendance, and ensuring accuracy of recorded hours and leave types.
  • Gather, assess, and calculate Pre-Injury Average Weekly Earnings (PIAWE) based on payroll records and employment history, ensuring timely submission of accurate documentation to the insurer.
  • Enter and reconcile payroll data in line with insurer determinations, certificate restrictions, and internal payroll deadlines.
  • Prepare and submit reimbursement requests to insurers for wage payments and recoverable costs.
  • Reconcile remittances and reimbursement schedules, ensuring financial accuracy and resolving discrepancies where required.
  • Process medical expense reimbursements for injured workers in accordance with insurer approvals and legislative requirements.

3. Correspondence & Data Management

  • Maintain high-volume document workflows including uploading, indexing, and coding of clinical documents, reports, and claim-related correspondence.
  • Ensure all communication with insurers, brokers, medical providers, and internal staff is captured and recorded appropriately.

4. Stakeholder Relationship Management

  • Build positive working relationships with insurers, brokers, treatment providers (GPs, specialists, physiotherapists, etc.) and rehabilitation consultants.
  • Communicate professionally and empathetically with injured workers, providing guidance on documentation, reimbursements, and claim-related queries.
  • Collaborate closely with internal teams including payroll and operations to support coordinated injury management outcomes.

5. Compliance & Record Keeping

  • Ensure all documentation, payments, and correspondence comply with workers compensation legislation and return to work requirements.
  • Maintain confidentiality of medical and personal information in accordance with privacy laws.
  • Support internal audits, insurer reviews, and reporting obligations as required.

Key Skills & Attributes

  • Strong administrative skills with experience managing high-volume documentation.
  • Exceptional attention to detail and accuracy, particularly with data entry and payroll reconciliation.
  • Ability to work in a fast-paced environment with competing deadlines.
  • High level of professionalism, empathy, and interpersonal communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Proficiency in MS Office, payroll systems, and injury management platforms.

Qualifications & Experience

  • Experience in administrative positions, inclusive of managing incoming calls for the team and responding to stakeholder questions verbally on the phone.
  • Experience in workers compensation, return to work coordination, injury management, or medical administration (preferred but not essential).
  • Experience managing small payroll (50 headcount), timesheets, or reimbursement processes (preferred but not essential).
  • Ability to work independently and manage multiple priorities
