Pay Range / Salary = Up to $80,000 Salary
Reporting to: CEO Doreen Granpeesheh

POSITION OVERVIEW:

The Executive Program Coordinator supports CEO/Founder, Doreen Granpeesheh, while coordinating and managing key company programs and initiatives. This role combines executive support with project and program management, ensuring initiatives are executed efficiently and leadership is well-informed. Presenting the CEO's projects to managers and directors, assisting in the implementation of projects, tracking results and ensuring implementation.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Plan, organize, and track programs from start to finish
  • Develop timelines, monitor and deliver status reports, and ensure deadlines are met
  • Coordinate cross-functional teams and communicate expectations clearly
  • Prepare program updates, reports, and dashboards for leadership
  • Prepare presentations, documents, and briefing materials for leadership
  • Handle confidential information with discretion and professionalism
  • Serve as a liaison between executives, internal teams, and external partners
  • Track action items and follow up to ensure completion
  • Identify process improvements to increase efficiency across programs

REQUIREMENTS:

  • High School Diploma or equivalent
  • Bachelor’s degree in a related field required, experience preferred
  • 2-5 years of work experience in project management, program coordination, tracking metrics, executive support, driving initiatives, or related roles

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Must have experience working on large-scale projects as well as handling day-to-day requests related to the business
  • Strong project management and relationship-building skills
  • Strong organizational and multitasking skills
  • Proficiency with Excel, PowerPoint, and other applications within Microsoft 365; familiarity with project management tools (i.e.: Trello, Jira) preferred
  • Excellent written and verbal communication skills
  • Must have proficiency in professional writing and be able to develop policies and workflows
  • Knowledge and experience navigating and using various software applications
  • Detail-oriented, proactive, and solutions-focused
  • Professional, discreet, prioritize confidentiality
  • Flexible and easily adaptable to changing priorities
  • Strong collaborator who can work with teams at all levels
  • Able to thrive in a fast-paced environment
  • Good decision-making and problem-solving ability
  • Ability to effectively and efficiently apply time management skills to multitask
  • Self-motivated and clearly focused on the tasks assigned to them
  • Works well in teams and can work independently with little or no supervision

WORK ENVIRONMENT:

  • Includes a typical remote office environment, with minimal exposure to excessive noise or adverse environmental issues

PHYSICAL REQUIREMENTS:

  • Ability to sit for prolonged periods of time
  • Ability to work on a computer throughout the majority of the day, as tasks require
  • Ability to use and speak on the phone or via teleconference, as needed throughout the day
