Background:

SAIL - Strengthen, Advance and Inspire Leaders - is an 18-month immersive learning experience for emerging leaders at CRS. The program supports diverse, mid-level staff to excel in their current role and prepare to realize their full potential by building leadership skills and functional capabilities. SAIL is a program led jointly by this Overseas Operations and the Global People Resources Organizational Talent and Development team.

This internship seeks a current undergraduate or graduate student seeking to obtain work experience that aligns with his/her studies (Human Resources, Organizational Development, Nonprofit Leadership, International Development, Project Management, etc.) and/or to fulfill requirements for an academic course or degree.

Primary Functions:

  • Coordinate activities, provide administrative support & strengthen knowledge management processes for the SAIL leadership program.
  • Develop project management, teamwork and communication skills.

Job Responsibilities:

  • Organize files and documents to improve knowledge management
  • Manage session materials, such as slide decks, handouts, recordings, and attendance sheets
  • Organize key program documents & information in locations that are accessible to program participants (e.g., SharePoint, Teams)
  • Inventory and consolidate multiple file versions
  • Update detailed program implementation plan to create a standardized program structure
  • Keep session materials organized and in the correct folders
  • Update files to the correct format and style guide
  • Editorial Review
  • Prepare slideshows, talking points, and certificates for events (e.g., graduations, awards)
  • Update program materials (e.g., session PowerPoints)
  • Provide coverage for virtual session production as needed, managing logistics of high-touch virtual learning programs
  • Creating and managing Teams breakout rooms
  • Updating central attendance tracker
  • Providing support to session facilitators as needed
  • Go over run-of-show and session slides (update as needed)
  • Revise the Session Plan to show decisions/changes during pre-production meeting
  • Confirm that everyone is clear on timing, responsibilities, and technical aspects
  • Produce live virtual sessions on Teams platform
  • Check that meeting settings are correct, according to standard guidance
  • Set up and manage breakout rooms, including juggling new or late attendees
  • Set up and run polls and other Teams features

Internal: OverOps Staff Learning & Development team; Global People Resources SAIL Management team

External: N/A

Qualifications:

  • Excellent communication skills, both written and verbal.
  • Experience with Microsoft 365, especially Teams, Outlook, OneDrive, SharePoint, Word, PowerPoint and Excel
  • Experience working and communicating with people from various regions of the world.
  • Takes quick action in live sessions to troubleshoot issues and respond to requests.
  • Flexibility and adaptability to change, including when unexpected situations arise.
  • English is required, with knowledge of French or Spanish a plus.
