Schedule: 20 hours/week, Monday - Friday 10am - 2pm New York time initially hours to adjust after training to agreed upon timing, but will likely be 3pm - 7pm or 4pm to 8pm New York time

Initial overlap with business owner, transitioning to US business hours

Job Description

This is an exciting opportunity to join a dynamic luxury travel business at a pivotal growth stage. As Virtual Luxury Travel Assistant, you’ll be integral in supporting complex travel arrangements for high-net-worth clients while learning the intricacies of the luxury travel industry. This role offers significant growth potential, starting with essential administrative duties and expanding into more complex travel planning responsibilities. You’ll work in a fast-paced environment where attention to detail and professional communication are paramount, handling everything from private flight arrangements to specialized itinerary creation.


Responsibilities:
  • Support luxury travel bookings and coordinate complex travel arrangements
  • Process and securely handle confidential client information including payment details and travel documents
  • Manage professional communication with high-net-worth clients
  • Assist in creating and maintaining detailed travel itineraries
  • Coordinate with premium travel suppliers and vendors
  • Handle time-sensitive requests and urgent travel modifications
  • Maintain meticulous organization of client files and travel documentation
  • Support calendar management and scheduling of client arrangements
  • Provide administrative backup for various travel-related tasks
  • Assist in streamlining business processes and improving efficiency


Requirements

  • Excellent written and verbal communication skills with a professional demeanor
  • Strong attention to detail and organizational capabilities
  • Previous customer service or administrative experience preferred
  • Ability to work US business hours
  • Proven track record of reliability and punctuality
  • Experience handling confidential information with discretion
  • Self-motivated with ability to work independently
  • Quick learner with strong problem-solving abilities
  • Proficiency in basic computer skills and ability to learn new software systems
  • Professional demeanor and service-oriented mindset
  • Ability to maintain composure while handling urgent requests
