Construction Business Administrator (DB)

This is a remote position.

Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Job Type: Full-time

Responsibilities:
  • Manage all client and subcontractor communications, ensuring timely responses and proactive updates
  • Create and maintain systematic approaches to job tracking, invoicing, and budget management
  • Process and match invoices to specific jobs, maintaining accurate financial records
  • Develop and document standard operating procedures (SOPs) for all administrative processes
  • Handle project documentation including work diaries, compliance documents, and architectural plans
  • Support qualification and conversion process for incoming leads
  • Maintain organized digital filing systems for all project documentation
  • Draft and send professional quotes and correspondence to subcontractors
  • Track and manage project budgets, ensuring accurate cost allocation
  • Assist with marketing administration and content organization

  • Full responsibility for administrative systems and processes

Requirements

  • Strong administrative and organizational skills with attention to detail
  • Experience in construction industry administration preferred
  • Excellent written and verbal communication skills
  • Proficiency in email management and digital filing systems
  • Strong capability in process documentation and systems creation
  • Basic understanding of construction project documentation
  • Ability to handle financial data with accuracy and confidentiality
  • Adaptable to new software systems and technologies
  • Professional manner when dealing with clients and subcontractors
  • Self-motivated with ability to work independently
