Schedule:

Job Description

This is an exciting opportunity to join a growing technology company as a key administrative team member. You’ll work directly with leadership to streamline operations, improve processes, and support business growth initiatives. As an early team member in our expansion, you’ll have the unique opportunity to shape administrative workflows while developing your career in the technology sector. Responsibilities

  • Drive efficiency in our billing operations by managing customer invoicing and vendor payment processes
  • Serve as the administrative backbone of the organization, handling crucial documentation and certification requirements
  • Coordinate with external partners, including managing vendor relationships and supporting bookkeeping processes
  • Lead the organization and tracking of business-critical renewals, including insurance and vendor certifications
  • Manage and streamline email communications to ensure timely responses and proper follow-up
  • Develop and maintain organizational systems for document management and administrative workflows
  • Support company growth initiatives through process improvement and administrative optimization
  • Handle returns and shipping coordination with attention to detail and customer satisfaction

Requirements

  • Excellent written and verbal English communication skills
  • Experience with accounting software (QuickBooks preferred)
  • Strong organizational abilities and exceptional attention to detail
  • Proven track record of managing multiple priorities effectively
  • Self-motivated with the ability to work independently in a remote environment
  • Professional experience in administrative or operational roles
  • Ability to align with US Pacific Time zone working hours
  • Comfortable with technology and quick to learn new software systems
  • Strong problem-solving skills and proactive mindset
  • Dedication to maintaining confidentiality and professional standards
