As the practice continues to grow, we’re seeking a client-focused administrative professional to be the voice and face of our practice.

Job Description

This is an exceptional opportunity to become an integral part of a growing healthcare practice where you’ll serve as the primary point of contact for clients. As a Full-Service Virtual Administrative Assistant, you’ll combine professional phone presence with comprehensive administrative support to ensure an outstanding client experience. This role offers the perfect blend of customer service and healthcare administration, allowing you to build meaningful relationships while supporting the practice’s growth and success.

Responsibilities

  • Manage incoming and outgoing calls with a warm, professional demeanor
  • Schedule and coordinate client appointments via phone and email
  • Handle client inquiries across multiple communication channels
  • Maintain accurate calendar management and appointment scheduling
  • Process new client requests and manage follow-up communications
  • Coordinate appointment confirmations and reminders
  • Support practice operations through various administrative tasks
  • Maintain strict confidentiality of client information

Requirements

  • Excellent verbal and written communication skills in English
  • Professional phone manner with clear speaking voice
  • Experience with calendar management and scheduling software
  • Healthcare administration experience preferred but not required
  • Strong customer service orientation
  • Proficiency in standard office software and email management tools
  • Ability to work independently and manage multiple priorities
  • Reliable internet connection and quiet workspace
  • Comfort with both inbound and outbound calls
  • Available during Australian business hours
