What You'll Be Doing:
As an Executive Assistant, you will serve as the central point of coordination for the organization, overseeing communications, follow-ups, CRM accuracy, documentation, and reporting. This role requires a proactive and reliable professional who can manage priorities effectively, anticipate needs, and operate independently once fully onboarded, while maintaining a high standard of professionalism and clarity in all interactions.
Daily Responsibilities
- Manage and follow up on WhatsApp, email, and internal messages promptly
- Track all open items, requests, and deadlines across multiple companies
- Proactively follow up with clients, consultants, contractors, and internal team members
- Maintain accurate and up-to-date records in the GoHighLevel (GHL) CRM
- Ensure Google Drive is well-organized, with clean folder structures and accessible links
- Prepare concise daily summaries for the founder outlining completed tasks, pending items, and blockers
Weekly Responsibilities & Deliverables
- Maintain a clear, high-level overview of all active deals and ongoing projects
- Produce a follow-up and bottleneck report highlighting risks and delays
- Ensure every deal and project has a clearly defined next action
- Support meeting preparation, contracts, and related documentation
What You'll Bring:
- At least 2 years or more experience as an Executive/Admin Assistant
- Experience in construction, real estate, or property development is strongly preferred
- Familiarity with CRM systems, particularly GoHighLevel
- Demonstrated excellence in organization, task management, and follow-up
- Exceptional attention to detail and accuracy in all work
- Proactive, structured, and reliable work approach
- Ability to manage high volumes of communication efficiently
- High level of integrity and discretion in handling confidential information
- Capable of working independently with minimal supervision
- Proficiency in Indonesian (advantageous but not required)
