Scope:

The Executive Assistant to the Global Managing Partner will serve as a trusted partner and force multiplier, enabling focus, leverage, and execution across investing, internal technology initiatives, community building, and external relationships. This role combines best-in-class executive support with light Chief of Staff–style coordination, requiring strong judgment, exceptional organization, and a proactive, ownership-driven mindset.

The EA will support a globally distributed executive with responsibilities spanning LATAM investments, internal platform and technology efforts, and founder and community initiatives (including hackathons, events, and content). The role is remote and México based, with regular collaboration across LATAM and U.S. (Bay Area) time zones.

This position is ideal for someone who thrives in fast-moving environments, anticipates needs, and takes pride in making complex systems feel simple and seamless.

Essential Functions:

  • Calendar & Scheduling Management

    • Propose, coordinate, and confirm a high-volume professional calendar across LATAM and U.S. time zones.

    • Balance competing priorities while protecting focus time and ensuring optimal use of executive time.

    • Act as a thoughtful gatekeeper, flagging conflicts, tradeoffs, and recommendations when scheduling.

  • Email & Communication Management

    • Triage and organize incoming email based on established guidelines.

    • Respond directly to select communications on behalf of the executive; draft responses for others as needed.

    • Serve as a professional extension of the executive in written communication with founders, partners, investors, and internal teams.

  • Travel Coordination

    • Coordinate domestic and international travel (primarily U.S., Mexico, and LATAM, with quarterly global travel).

    • Arrange flights, lodging, ground transportation, and supporting logistics, producing clear and comprehensive itineraries.

  • Meeting, Event & Community Support

    • Arrange and coordinate meetings end-to-end, including outreach, scheduling, preparation, and follow-ups.

    • Support events, hackathons, and community initiatives through logistics coordination, speaker confirmations, and post-event documentation and follow-up.

    • Prepare summaries, notes, and action items after meetings and events, ensuring clear next steps.

  • Research & Preparation

    • Conduct light background research on founders, companies, partners, and meeting context.

    • Prepare concise briefing materials to support meetings and external engagements.

    • Research and purchase items or services as requested.

  • Relationship & Information Management

    • Maintain organized systems for contacts, meeting notes, travel details, and relationship context.

  • Support relationship nurturing through reminders (e.g., birthdays, follow-ups, important milestones).

  • Serve as a connective point between the executive and internal teams, external partners, and collaborators.

  • Content & External Coordination

    • Support content initiatives by researching topics, coordinating collaborators or producers, managing timelines, and organizing publishing and follow-ups.

    • Assist in drafting or coordinating documents, emails, and follow-up communications based on clear executive input.

  • Administrative & Logistical Support

    • Coordinate document signatures, information flow, and other administrative needs as required.

    • Provide light personal logistical support related to travel and scheduling preferences.

    • Act as a reliable operational partner who anticipates needs and solves problems before they arise.

Requirements

Minimum Qualifications:

  • Experience supporting senior executives in fast-paced, high-trust environments; experience matters more than tenure.

  • Demonstrated excellence in calendar management, scheduling, and executive communications.

  • Strong written and verbal communication skills with the ability to represent an executive professionally and confidently.

  • High level of discretion and proven ability to handle sensitive and confidential information.

  • Exceptional organizational skills, attention to detail, and follow-through.

  • Comfort working across time zones and with globally distributed teams.

  • Proficiency with Google Workspace, Microsoft Office, Slack, and modern collaboration tools.

  • Ability to operate independently, take ownership, and know when to seek clarity or alignment.

Preferred Qualifications:

  • Experience in venture capital, startups, technology, or founder-led organizations.

  • Familiarity with LATAM startup ecosystems and global investing contexts.

  • Experience supporting executives involved in content creation, community initiatives, or events.

  • Strong judgment and comfort acting as a point of contact on behalf of an executive.

  • Entrepreneurial mindset with a service-oriented, high-ownership approach to work.
