We are seeking a highly organised and proactive Program Admin Coordinator to support the smooth delivery of STEM learning programs for children. This role focuses on coordinating lessons, supporting facilitators, communicating with parents and schools, and ensuring daily operations run efficiently. The ideal candidate is detail-oriented, confident communicating with stakeholders, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Coordinate with stakeholders to ensure lessons run smoothly and on schedule.
- Conduct facilitator check-ins, training support, and regular status meetings.
- Monitor attendance, preparedness, and professionalism of facilitators.
- Respond to parent enquiries, concerns, payment reminders, and makeup lesson requests.
- Coordinate with schools regarding closures, schedule changes, and facilitator replacements.
- Provide regular updates to management and escalate issues when necessary.
- Support day-to-day administrative and operational tasks.
Requirements
- At least 2 years of relevant experience in coordination, administration, or similar role.
- Basic knowledge of coding or programming is an advantage.
- Strong written and verbal communication skills.
- Proficient in computer and administrative tasks.
- Strong organisation, coordination, and time management skills.
- Ability to give clear instructions and build positive working relationships.
- Confident handling challenging situations professionally.
- Experience using Microsoft Office, Adobe (PDF), Canva, and CRM systems.
