Role Overview
We are seeking a highly organized and proactive Executive Assistant to support our executive team in managing their daily operations and enhancing their productivity. In this fully remote role, you will function as a key partner, ensuring seamless communication and efficient workflow across various departments, while maintaining a strategic focus on our organizational goals.
Responsibilities
- Manage complex calendars, scheduling meetings, and coordinating travel arrangements with meticulous attention to detail
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism
- Serve as a liaison between executives and internal/external stakeholders, fostering strong relationships
- Conduct research and prepare briefing materials for meetings, providing insightful analysis and recommendations
- Support project management efforts by tracking deadlines, deliverables, and progress updates
- Assist in the preparation of board materials and facilitate communication with board members
Required and Preferred Qualifications
Required:
- 5+ years of experience as an Executive Assistant or similar role supporting senior executives
- Proven ability to manage multiple priorities in a fast-paced environment with a high degree of accuracy
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Exceptional organizational and time management skills, with a keen attention to detail
- Excellent written and verbal communication skills
Preferred:
- Experience with project management tools and software (e.g., Asana, Trello, or similar)
- Familiarity with CRM systems and other business-related software
- Ability to work independently and exercise discretion in handling confidential information
Technical Skills and Relevant Technologies
- Proficient in Google Workspace and Microsoft Office applications
- Experience managing digital communication platforms (e.g., Slack, Zoom, Microsoft Teams)
- Strong skills in data management and reporting using spreadsheets and databases
Soft Skills and Cultural Fit
- Strong problem-solving abilities with a proactive approach to challenges
- Ability to maintain a positive attitude and remain calm under pressure
- Demonstrated ability to work collaboratively within a remote team environment
