THE ROLE

This is an exciting opportunity for a motivated and proactive team player with emphasis on organization, customer service, professionalism, and quality to support the Global Leadership Advisory Executive Partner, Global Board Advisory Senior Partner, and Principal. The Advisory Project Coordinator provides support by managing project coordination, administrative tasks, and client-related processes to ensure efficient execution of engagements via strong communication, demonstrated technical skills, and ability to problem-solve and anticipate and address potential issues in advance.

The position will provide comprehensive logistical and operation support across a broad range of activities, including complex calendar and time management, travel coordination, document development, database management, and event planning, while contributing to a highly collaborative, team-oriented environment. The position will also provide logistical and operational support to coordinate project delivery and other time-sensitive search and consulting support. These engagements typically involve boards, CEOs, and other C-suite members.

The Advisory Project Coordinator operates in a dynamic, fast-paced, and deadline driven environment with shifting priorities and varying workflow volumes, all while consistently delivering high-quality work and an exceptional client experience.

Work will be conducted in a remote environment. This position offers a base salary of $77,000 to $87,000, plus a target bonus of 5% of base salary. Salary within our ranges is determined by your education, experience, knowledge, skills, and abilities, as required by the role, as well as internal equity and alignment with market data. RESPONSIBILITIES

Aligned to multiple Executive Partners and Leadership Advisory Solution leaders to provide high-level administrative support across all phases of project delivery including but not limited to:

Project Coordination:

  • Provide high-level coordination support to senior consultants supporting the organization and management of client engagements through structured planning, prioritization, and execution of key activities.

  • Proactively anticipate and drive business priorities, aligning consultant and client needs to ensure seamless project delivery and responsiveness.

  • Deliver a high-touch client experience by providing consistent professional support and maintaining strong communication across all stages of the engagement.

  • Maintain accurate and current project tracking across engagements, ensuring visibility into timelines, milestones, and deliverables.

  • Oversee the coordination and tracking of invoicing and expense processing, ensuring accuracy, timeliness, and alignment with project and financial requirements.

Calendar Management and Scheduling:

  • Oversee complex calendar management for consulting staff within the solution, including aligning competing priorities, resolving scheduling conflicts, and ensuring optimal time allocation across engagements.

  • Support planning and scheduling for internal and external project meetings, etc.

  • Coordinate travel logistics as needed, with a focus on efficiency, cost-effectiveness, and alignment with project and client requirements.

  • Create documentation, as needed, for key meetings. Ensure materials for meetings are prepared and distributed in a timely manner. Record action items from meetings and conduct appropriate follow-ups.

Team Collaboration and Communication:

  • Demonstrate professional verbal and written communication skills across diverse formats, including client correspondence, reports, proposals, presentations and emails, ensuring clarity, precision, and professionalism in all interactions.

  • Develop a partnership with consultants built on communication, trust, and teamwork.

  • Successfully collaborate across multiple departments and practices to ensure quality and timing of project deliverables.

  • Provide a high degree of discretion, sound judgment, and professionalism in handling sensitive and confidential information.

  • Contribute to a collaborative team environment by providing flexible support and stepping in to assist colleagues as needed to ensure seamless project execution and continuity.

Document and Data Management:

  • Create, edit, and proofread client deliverables including templates, proposals, engagement contracts, and reports, all in accordance with the firm's brand standards.

  • Support the tracking and management of project tasks and critical information, leveraging appropriate tools to ensure accuracy, visibility, and alignment across engagements.

CANDIDATE PROFILE

Qualifications:

  • Bachelor's Degree preferred.

  • 10+ years' experience in business operations or working on project teams in professional service organizations.

  • Experience working with CEOs and Boards of Directors, both internally and externally.

  • Experience working with members of executive leadership teams.

  • Experience as a project coordinator and senior-level executive assistant is strongly preferred.

  • Strong proficiency with Microsoft Office Suite, including Excel, PowerPoint and Word, and experience with collaboration technologies (e.g., Zoom, Microsoft Teams, SharePoint, etc.).

  • Experience with project management tools and software tools used to build flow charts and process diagrams a plus (e.g., Monday, etc.).

  • Proven ability to learn and navigate new software tools and applications.

  • Proven ability to multi-task and prioritize while managing multiple projects simultaneously.

  • High attention to detail and experience creating, proofreading, and editing business documents with the ability to make recommendations for improvements.

  • Excellent analytical and problem-solving abilities.

  • Eastern or Central time zone location with experience working remotely, preferred.
