Job Summary
Our Client builds institutional memory for investment firms and family offices. The judgment, decisions, and conversations that make a firm what it is mostly live in people's heads — and disappear when those people move on. We change that, working on top of the tools each firm already uses to turn how they operate into something the team can use, allocators can see, and the next generation can inherit. This is a frontline operations role for an AI-native consulting practice. The founder owns each client engagement and sets the architecture. You keep the systems running and the clients well-served. As AI lets very small teams deliver work that used to require very large ones, someone has to make sure the prompts, knowledge bases, capture routines, and recurring deliverables behind that actually work as intended.
Core Tasks
- Serve as the first point of contact for client teams, handling requests, responding, and escalating to the founder when needed
- Diagnose client needs and determine what the appropriate response or output should look like
- Update and manage tooling across platforms such as Notion, Linear, Slack, Google Workspace, Claude, Fireflies, and related systems
- Turn transcripts, email threads, and scattered documents into structured summaries, decision logs, briefs, and procedures
- Maintain and steward each client’s institutional memory layer to ensure it remains organized, current, and trustworthy
- Monitor AI-assisted outputs regularly, improve weak or incorrect outputs, and feed corrections back into templates
- Document procedures and reference materials that enable client teams to operate independently
- Support onboarding of new clients by setting up tooling, ingesting context, building initial structures, and establishing routines
Must Haves
- 3–5 years of experience in a client success, consulting, or project management role
- Exceptional (C-level) verbal and written English communication skills
- Hands-on experience or familiarity with AI tools and workflows (Claude preferred)
- Strong organizational skills with a positive attitude and problem-solving ability
- Familiarity with Slack and Zoom for internal team coordination and communication
- Ability to work full-time EST
