We are looking for a reliable and detail-oriented Intake Receptionist to support our team in managing real estate and commission-based transactions. This role is essential in ensuring clients are properly guided, connected to the right lawyer, and supported throughout the entire process. If you’re organized, people-oriented, and able to keep operations running smoothly, we’d love to hear from you.

Key Responsibilities:

  • Answer incoming phone calls and provide friendly, professional assistance
  • Intake new client inquiries and assign them to the appropriate lawyer (supporting a team of 3 lawyers)
  • Conduct follow-ups to ensure transactions and communications are progressing smoothly
  • Assist in coordinating real estate and commission transaction workflows
  • Maintain accurate records and documentation to support seamless client service
  • Use Google Workspace for documentation, communications, and task management
  • Utilize RingCentral (softphone) for call handling and client coordination

Requirements

  • Strong communication and customer service skills
  • Experience in real estate, legal intake, or administrative roles is a plus
  • Ability to multitask and manage multiple client inquiries at once
  • Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail)
  • Comfortable using RingCentral or similar softphone systems
  • Highly organized, detail-oriented, and proactive
