Job Summary:We are seeking a reliable and organized RemoteMaintenance Operations Assistant to manage the full lifecycle of maintenance requests, from intake and scheduling to tracking and final completion. This role requires strong communication and organizational skills to coordinate maintenance activities, provide administrative support, and interact professionally with clients throughout the day. The ideal candidate is detail-oriented, able to work under pressure, maintains excellent email etiquette, and demonstrates a friendly and professional demeanor. Basic maintenance knowledge, and familiarity with Rent Manager and common office tools are preferred.

Key Responsibilities:

  • Receive and manage incoming work orders.
  • Schedule and coordinate maintenance visits.
  • Update and track work orders through completion.
  • Follow up on pending tasks to ensure timely resolution.
  • Oversee the full maintenance request lifecycle, from intake to final completion.
  • Interact with clients in a friendly, professional, and approachable manner throughout the day.
  • Organize, prioritize, and manage multiple tasks effectively under pressure.
  • Utilize Rent Manager software when applicable.
  • Coordinate daily operations and provide administrative support as needed.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Strong interpersonal and communication skills and collaboration skills.
  • Previous experience in a management role is preferred.
  • Basic knowledge of maintenance practices.
  • Friendly, approachable, and pleasant to work with.
  • Strong organizational skills with the ability to handle stressful situations.
  • Pleasant personality required, with the ability to interact professionally with clients throughout the day.
  • Excellent Email etiquette.
  • Prior experience in roles such as administrative assistant, secretary, personal assistance, operations support, or other relevant positions.
  • Out-of-the-box thinker, reliable, and professional.
  • Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets).
  • Familiarity with Rent Manager software preferred.
  • Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
  • Reliable computer (Windows 10 or newer), two monitors, and stable high-speed internet.
