Job Summary:
We are seeking a Remote Insurance Certificate Coordinator to manage certificate of insurance requests and support existing policyholders by providing accurate and timely proof of coverage. This role involves handling incoming email requests, preparing certificates based on system data, and maintaining organized tracking of all requests and completions while ensuring a high level of speed and accuracy. The position requires close collaboration with the Account Manager to ensure efficient workflow and precise execution. The coordinator will manage multiple certificate requests simultaneously, follow up promptly when needed, and communicate clearly with clients regarding inspection requirements or policy-related updates to ensure compliance and avoid potential coverage issues. This is a fast-paced, detail-driven role that demands strong organizational skills, responsiveness, and the ability to multitask effectively. The ideal candidate is a proactive professional with excellent communication skills, strong problem-solving abilities, and the capacity to quickly learn new systems and processes. Prior insurance experience, particularly in Property & Casualty (P&C), is highly preferred, though high-potential candidates with strong learning ability may also be considered.
Key Responsibilities:
- Handle incoming emails and prepare insurance certificates based on system data, ensuring fast turnaround.
- Start with construction certificates, with expansion into property certificates over time.
- Follow up on certificate requests within 30 minutes when needed.
- Work closely with the Account Manager to ensure accuracy and speed.
- Maintain organized tracking of all certificate requests and completions.
- Multitask multiple certificate requests simultaneously.
- Handle inspection recommendations by clearly explaining to customers what needs to be changed or corrected and ensuring follow-through.
- Support customers who already have insurance policies by issuing certificates of insurance as proof of coverage for other companies or vendors.
- Explain required updates or corrections following insurance property inspections and ensure completion to avoid potential policy cancellation.
- Perform other duties related to the position as assigned.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Excellent interpersonal and communication skills, allowing for effective collaboration with clients, colleagues, and teammates.
- Prior insurance experience preferred (assessment may be required).
- Property & Casualty (P&C) experience strongly preferred.
- Excellent Email etiquette.
- Exceptional attention to detail and accuracy.
- Strong multitasking and organizational skills, with the ability to work efficiently in a fast-paced, high-responsibility environment.
- Highly responsive with clear and timely communication.
