COO Office Support
- Act as primary support to the COO across operational activities
- Maintain a clear, up-to-date view of priorities across the business
- Prepare weekly operational summaries and reporting
- Coordinate inputs from multiple teams into clear, concise updates
- Support leadership meetings (agendas, materials, notes, follow-ups)
Executive support
- Manage inbox and calendar for the COO
- Prepare meeting agendas, take clear and structured notes
- Capture actions and ensure follow-up across the team
- Assist with reporting, presentations, and internal communications
- Support coordination of day-to-day priorities and tasks
Inbox & communication management
- Organise and prioritise incoming emails
- Respond on behalf of the COO where required
- Flag urgent items and summarise key points
- Maintain clear, timely communication with customers and stakeholders
Operations, Tracking & Coordination Support
- Maintain visibility across all active workstreams (Academy, Sales, Marketing, Events, Partnerships). Track initiatives, timelines, deliverables, and dependencies
- Maintain accurate and up-to-date trackers, dashboards, and internal systems (e.g. HubSpot, project tools)
- Compile weekly summaries highlighting:
- Progress against priorities
- Risks and blockers
- Items requiring escalation
- Track timelines, deliverables, and communications to ensure all moving parts are progressing
- Proactively flag delays, gaps or misalignment
- Follow up with teams to ensure tasks are completed
- Support execution where needed (content uploads, scheduling, admin, system updates)Ensure queries, feedback, and actions are directed and followed up with the appropriate teams
Operating Rhythm & Cadence
- Own weekly operating cadence (tracking, reporting, follow-ups)
- Ensure consistency in reporting across teams
- Maintain a single source of truth for priorities and status
- Support weekly leadership and operational meetings
- Help ensure alignment between planning, execution, and reporting
Must haves:
- 5+ years of demonstrated experience an Executive Assistant
- Experience working within a startup or similarly fast paced organisation
- Tech Savvy
- Bachelors Degree
