Role Summary
The Loan Administrator is responsible for managing loan files from submission through closing, ensuring accuracy, speed, and clear communication across stakeholders. You will support Account Executives (AEs), interface with borrowers, title companies, insurers, and third-party lenders, and maintain structured, organized documentation in Salesforce and lender portals. This role requires exceptional attention to detail, fast turnaround times, proactive follow-up, and the ability to maintain order in a high-volume, fast-paced environment.
Key Responsibilities
1. New Deal Intake & Processing
Review new loan submissions promptly.
Verify borrower, property, and loan data accuracy.
Update information in Salesforce, including lender selection.
Prepare and send file packages to lenders.
Order title, insurance, and third-party documents.
Send borrower documents via DocuSign.
Upload all supporting documents to Salesforce and lender portals.
Request missing documentation from AEs or borrowers promptly.
2. Pipeline Management & Follow-Up
Maintain active communication with lenders, AEs, borrowers, title companies, and insurance contacts.
Respond quickly to questions from stakeholders.
Track outstanding items and follow up on unresponsive parties.
Monitor title issues and request updates.
Update Salesforce notes and Loan Submission Checklists with time-stamped entries.
Ensure all emails are logged and all calls made via Dialpad.
3. Closing Coordination
Create SBL invoices.
Review and approve HUD/CD documents.
Coordinate signing and closing timelines with title.
Upload closing packages into Salesforce.
Await lender funding approval.
Enter final loan figures into Salesforce.
Update internal accounting/wire logs.
4. Documentation Standards & Quality Control
Ensure all documents meet Sherman Bridge naming standards.
Keep digital files organized.
Verify all required items before advancing a file.
Flag discrepancies or borrower risks proactively.
5. Cross-Team Collaboration
Support Account Executives with file preparation and borrower communication.
Coordinate with underwriting, investor relations, servicing, and compliance.
Work collaboratively with lenders throughout approval and funding.
What Success Looks Like
New submissions reviewed and lender notifications sent promptly.
Salesforce stays clean, updated, and accurate.
